MAIN RESPONSIBILITIES

1.Meeting, greeting and welcoming visitors
2.Taking incoming telephone calls, dealing with such calls promptly in a professional manner, and re-directing appropriate calls to other individuals or departments.
3.Assist visitors fill out their details in the visitors log book and issue visitors pass.
4.Pick up and deliver the mail
5.Ensure accuracy of messages and swift delivery to recipients
6.General administrative duties including dispatching and accepting mails and courier services (parcels)
7.Open and date stamp all general correspondence
8.Maintain the general filing system and file all correspondence
9.Assist in the planning and preparation of meetings, conferences and conference telephone calls
10.Actively use available systems optimally and keep customer data up to date (e.g. logging calls and issues).
11.Maintain an adequate inventory of office supplies
12.Respond to public inquiries
13.Provide word-processing and secretarial support
Position Requirements
Skills / Industry Qualifications Required:1.Fluent in English and French
2.Minimum Higher School Certificate or any equivalent qualification.
Education Level Required:High School
