| 1. Facilitates hiring of foreign manpower requests.
1.1 Screens submitted application materials
1.2 Conducts preliminary interview to applicants
1.3 Selects, endorses and schedules qualified applicants for second interview
1.4 Coordinates pre-employment requirements
1.5 Notifies travel and accommodation section for the travel and accommodation arrangements
1.6 Assists in the planning and implementation of HR programs and strategies
1.7 Conducts research in recruitment and selection
1.8 Reviews and guides in updating the job descriptions
2. Internship Coordinator
2.1 Recruitment
2.1.1 Coordinate with other coworkers who solicit internship applicants
2.1.2 Filter applications.
2.1.3 Create and maintain a database of interested internship applicants.
2.1.4 Perform first-round interviews with applicants.
2.1.5 Coordinate second-round and later-round interviews with applicants and applicable department heads.
2.1.6 Notify interns whether or not they will be accepted to the program.
2.1.7 Coordinate with Travel and Accommodation on the travel and lodging for accepted interns, including finding suitable methods for shared housing among the interns in Casablanca Gardens
2.1.8 Coordinate a program of transition and acclimation for new interns.
2.2 Management/Coordination of Interns
For all Interns:
2.2.1 Liaise with HR, Finance, IT and other departments to ensure that all the interns’ necessities for being productive are being met.
2.2.2 Formalize a system for regular, standardized feedback on both sides – for interns and department heads – to determine if the experience is worthwhile for all parties involved.
2.2.3 Have short bi-weekly individual meetings with all interns to discuss their work assignments and utilization. If any issues are uncovered, take necessary actions toresolve issues, or if necessary, redeploy the intern to a different department.
2.2.4 In the final month of the intern’s contract, perform an overall assessment of the intern and make a recommendation to HR and management about the potential for continued employment.
For General interns only:
2.2.5 Work with various department heads to assess their need for interns.
2.2.6 Assign general interns to departments, rotating them through various departments (one department per month for the first three months of the internship).
2.2.7 Work with department heads to smoothly transition interns from one department to another.
2.2.8 At the end of the intern’s first three months, conduct interviews/assessments with the intern as well as the department heads to determine suitable placement for the intern’s final three months of his/her contract. This will be a decision from management based on work-related needs and what would be the best personality/skills match, though the internship can certainly make suggestions for his/her preferences.
2.3 Mentorship/Training
2.3.1 Devise a plan for overall training programs for interns as a group or on individual bases, including the possibility of taking classes in IAFT classes.
2.3.2 Be available for specific mentoring opportunities as necessary on an individual basis.
2.3.3 Plan monthly outings/social activities for the interns.
Work Experience
- At least with substantial number of years work-related experience in administrative tasks
- Must have background in the Film Production/Entertainment Industry
- Having worked in a multi-cultural organization is an advantage
Skills/Knowledge
- Computer-literate
- Excellent in verbal and written communication
- Detail-oriented and has good coordination and planning skills
- Supervisory/Managerial skills
- Willing to be assigned in Cebu, Philippines
Education
- Behavioral, Management or Communications educational background |
