Job Posting: Administrative Coordinator
Date: April 15, 2008 – July 15, 2008 (3 Probationary Period. Option to Extend to 1 year)
Reports to: Managing Director
Fulltime Consultant fee: $3000/month, expected to work 40 hours/week.
The Administrative Coordinator will be expected to show leadership and proficiency in their approach to maintaining and implementing office systems. This individual will be highly independent, having a strong ability to troubleshoot, problem solve, manage tasks and create and implement practical office solutions. Individual will also be responsible for working with other grassroots organizations to develop simple and effective management/organizational systems.
1) Basic Responsibilities:
a. Maintain strong office systems, ensuring the responsible management of SWB;
b. Execute day-to-day financial functions and work closely with book keeper;
c. Manage SWB resources and provide logistical support to local programs.
3) Job description:
a) Administrative
• Manage and implement SWB database, membership and network through traditional (mail outs etc.) and web-based means (Facebook etc.);
• Manage questions to SWB(email, phone etc), directing inquiries and interest to the appropriate sources;
• Manage the SWB Blog;
• Manage SWB filing system, keeping it updated with all pertinent information;
• Maintain copies of ALL necessary documents for grant applications (ie. Audit, Annual Reports, By-laws, Charitable Registration, etc);
• Maintain office equipment such as printer, router, supplies etc;
• Answering SWB Phone;
• Maintain copies of SWB promotional materials;
• Keep track of all SWB Equipment within the office and that which is rented out;
• Steward SWB Members;
b) Financial
• Complete expense reports for ED and MD and liaise with book keeper to ensure timely financial updates and payments;
• Pay monthly bills (Visa, etc.) and handle incoming bills;
• Deposit Incoming funds to SWB’s Accounts. Manage funds electronically. Keep budget for each funded project and monitor outgoing funding;
• Keep budget for each project funded and monitor incoming/outgoing funds
• Maintain high level of Donor Stewardship with SWB community and supporters, including writing tax receipts and thank you letters;
• Manage, book and complete reporting for Aeroplan Beyond Miles Program
c) Organizational
• Resource Document Development
• Manage all grants and funding disbursements for Emerge participants and Grassroots Youth Collaborative
• Develop effective and practical systems for using the office, managing finances, being organized and keeping in regular touch with our community
• Act as a logistician for all local programs when needed and available

• Strong leadership, inter-personal, project management and organizational skills;

• Strong proficiency in Microsoft Excel and Word;
• Strong logistical skills and ability to use or learn how to use online project management/CRM software;
• Valid drivers license and comfort in driving in Toronto and surrounding areas; and
