| Job Description: |
The following is a job description for this position that we are looking to fill for a client in which we staff for.
Controller
Controller will have full responsibility for all administrative and financial operations including maintaining accounting principles, practices, procedures and controls. Financial statement preparation and analysis along with general ledger accounting. Percentage of completion and job costing, Work In Progress, WIP, inventory analysis and controls, and insurance.
Controller to manage all Accounting, Human Resources department, Contract Management, computer system and other general Administrative activities. The Controller is Responsible for the overall accounting system of the company including payroll, general ledger, accounts receivable, accounts payable, job costing, and financial statement preparation. Complete special projects as requested by the CEO, COO or Project Executive. Support the Company's overall corporate objectives. Identify mechanisms to enhance efficiency and cost savings. Work closely with the CEO and COO and facilitate cooperation between the Administrative Unit and the Project Management Team and Sales Team.
The controller is responsible for all financial records, payroll, banking and the daily operations of the administrative department. Outline of duties are not arranged in order of priority; these duties are not meant to restrict but rather to describe minimum activities. Those duties will from time to time be altered by the CEO according to the needs of the company
-Have a complete and thorough knowledge of accounting functions and procedures as well as Timberline Software; (very Important, Should Know!!!!)
-maintain the company’s system of accounts and keeps books and records on all company transactions and assets and liabilities;
-Have thorough knowledge of construction integrated job cost and general ledger accounting systems of the company and be proficient with Excel for the preparation of reports, spreadsheets and other accounting analysis that may be required by management;
-Accurately and timely supervise/prepare weekly field and office payroll, making proper federal, state payroll tax deposits into respective accounts and file payroll documents
-Accumulate job cost date from weekly payroll reports, materials and subcontract billings in order to generate weekly/monthly job cost reports for each project
-Supervise all Company billing and AIA invoices in Expedition/serve as billing back up individual
-On a quarterly basis complete federal and state payroll tax returns
-Supervise accounts payable and subcontractors payments
-Prepare timely monthly financial statements, conduct month end closing, verifying accuracy of all subsidiary ledger balances and general ledger entries; cash reconciliation; reconcile monthly recaps for workers compensation and general liability insurance premiums, 401k
-Maintain employees personnel files including all tax forms, insurance records, 401k records, application, employment, drug test records
-Manage company health insurance, cafeteria and 401k plans
-Prepare in house financial statements for April year end review level financial statements; interface with Company’s CPA firm to complete
-Process employee year end W2’s and 1099 forms distributing to employee/payee and appropriate federal and state agencies
-Supervise - subcontractors and vendors meet all requirements of contract agreements prior to payment
-Supervise all accounting files and records on each project
-Interface with project managers and superintendent to accurately charge and code invoices to job cost and general ledger
-Evaluate the performance of personnel in the Administrative Department; this individual recommends training requirements, has the duty to keep the staff at the highest level of skill necessary to meet company needs and objectives and may recommend that personnel be hired or removed from the Department
-Furnish internal reports, revise and update reports to be more useful and efficient, and furnish external reports as necessary
-Provide and maintain effective financial controls for the organization
-Coordinate and direct the preparation of the budget and financial forecasts, institute and maintain other planning and control procedures (including the cost accounting system), and analyze and report variances
-Evaluate and recommend insurance coverage for protection against property losses and potential liabilities
