Job Description: Responsibilities

- Recommends appropriate software tools and packages as required to maintain integrity of documents , in line with processes and required results as stated by hiring manager.
- Administration of an electronic document management solution with thousands of documents as required.
- Maintaining and updating document controls logs and records to ensure they are current and accurate.
- Tracking approval status.
- Maintaining, filing and organizing all relevant documents in a professional and logical manner.
- Effective , up-to-the-minute tracking of locations of / users of documents at any given time via the use of appropriate software files and logs and implementation of relevant processes.
- Rigorous implementation of quality and document controls processes and monitoring of their results. Provides adequate feedback on existing processes and recommendations for better outcomes.
- Assistance of CAD manager during document submission process in all aspects of document controls and assembly ( such as : printing , copies , quality checks , tracking of submission status )
- Co-ordination with QC manager to ensure all MEP design documentation meets or exceeds standards.
- Co-ordination with other offices from a document controls standpoint for activities such as : scanning documents, uploading and emailing documents , tracking of document flow.

Skills Required::Requirements

Experience and qualifications

8 + Years of Work experience as a document controller.
- Experience in the administration of electronic document management systems.
- Experience in the database design programming and setup of electronic document management solutions is a plus.
- College or University degree in a related field
- Experience in use of Autocad software
- Ability to utilize multiple word-processing and database applications including MS Office applications Word, Excel, power point,Visio,Access, as well as Adobe Acrobat, etc.

- Strong time management skills – task prioritization , goal setting, advance planning of workload and anticipation of project requirements.
- Functional Knowledge : Good understanding of electronic document management and document management procedures in general.
- Good administrative skills : consistently updates records, able to keep documents in correct locations , organized .
- Self motivated : is able to initiate tasks and follow up with team members to achieve results.
- Process-oriented : has the ability and discipline to rigorously execute / implement relevant document control policies and procedures , and verify that current processes are delivering the required results on an ongoing basis.
- Follow-up with relevant staff to ensure their document control requirements are being met .
- Detail-oriented , accurate in execution of quality assurance work aspects.
- Effective communicator.
- Strong team player , effective at communicating and coordinating processes with others in the organization, regardless of seniority or level in the organization.
