CIEE Position Description For: Program Coordinator, Teach in South Korea
Reports To: Manager, Teach Abroad, Portland
Location: Seoul, South Korea
Part One - Basic Function
The Program Coordinator for Teach in South Korea is primarily responsible for ensuring the proper functioning of the year-around program. He/She will work closely with the Manager for Teach Abroad Programs to promote, prepare for, and carry out all aspects of the Teach in South Korea program. He/She will be responsible for specific responsibilities prior to arrival, after students arrive, and during the academic year. The Program Coordinator will serve as the primary liaison to ensure seamless communication and negotiation between CIEE, host schools, and teachers.
Part Two - Specific Duties (Teach in South Korea)
Participant Services
• Work as primary contact for CIEE teachers in country.
• Provide support to teachers and school staff on an ad hoc basis concerning academic cultural differences, methodology, and pedagogy.
• Organize, prepare and carry out on-site orientation schedule. Includes securing hotel and meeting space, coordinating sessions and staffing for multiple program options. Reconcile results from participant orientation evaluations and recommend changes for next orientation arrival.
• Maintain a 24/7 cell phone number for participant emergency assistance. Candidate must be well versed in emergency procedure and local regulations/resources for healthcare and emergency facilities to assist participants in applicable situations.
• Organize participant/ site visits for first six months of participants stay, and as needed in the succeeding six months. Visits will be in the order of checking in with each participant every month in person.
• Meet with partner school officials regarding issues that emerge throughout the school year.
• Produce a monthly e-newsletter for participants with information related to ESL, conferences, materials, and cultural events in the greater Seoul area.
• In cooperation with the Coordinator of Teach Abroad Programs, create pre-departure information both printed and online to be distributed to Teachers 4-6 weeks prior to departure.
Partner School Relations
• In cooperation with CIEE, maintain relationship with partner schools.
O Coordinate with the schools to solidify timelines and school placements
O Confirm/advocate for placements in a timely manner
O Serve as primary intermediary between teacher and school director/ school human resources.
• Be aware of and explore opportunity to expand CIEE relationship with other reputable schools that would create new teaching placements for future participants.
Administration
• In cooperation with the Coordinator Teach Abroad programs, create and adhere to an administrative and program calendar for each FY.
• In cooperation with the Coordinator of Teach Abroad Programs assist with admission duties as needed (as program grows)
• Ensure that school placement information is available for distribution in accordance to schedule.
• Maintain accurate database of schools with pertinent information about staff, resources, past and current participants, etc.
• Maintain accurate participant records and files.
• Update CIEE Teach in Korea handbook and other pre-departure materials as needed.
• Confirm student visa process annually.
• Formulate ongoing evaluations with Manager of Teach Abroad Programs to be administered three times a year (November, February, and May). Provide suggested changes for next FY.
• Produce an orientation summary and end-of-year program report for the Manager of Teach Abroad Programs.
Other
• Perform other duties as assigned.
Multimedia
• Administer a Facebook group for each year
• Hire and supervise one official blogger for each year. Blogger will be responsible for one entry approximately every two weeks to include photos and/or video. Be aware of any ongoing private blogs as potential sources of information about the program.
• Provide other ideas to the Teach Abroad Manager for further interactive promotional possibilities.
Part Three - Accountability
The Program Coordinator is accountable for:
• Supporting Program Director, Manager, and Coordinator to ensure the efficient and effective operation of the Teach in Korea program.
• Representing CIEE with integrity, accuracy, and in the spirit of its mission.
• Responding in a timely manner to all questions, issues, problems, needs of any constituents (students, host and home schools, resident staff, parents), as required/assigned.
Part Four - Judgment, Decision-Making, and Planning
The Program Coordinator exercises sound judgment in his/her interactions with teachers, parents, partner school representatives, and school officials during all aspects of the application, acceptance, and enrollment process.
The Program Coordinator must exercise judgment in knowing when to bring an issue to the attention of a senior manager.
The Program Coordinator executes concise plans according to schedule and budget.
Part Five - Knowledge and Skills
• Organization—Ability to handle multiple tasks and priorities simultaneously.
• Communication—Strong communication skills, both written and verbal, and be able to communicate to multiple audiences.
• Interpersonal—Strong interpersonal skills and be able to communicate (naturally) an interest in the students, faculty, etc.
• Flexibility—Must be very flexible and be able to respond quickly to changing circumstances. Must have a high tolerance for ambiguity.
• Language—Fluency in English and Korean.
• Technology—Strong computer skills (Word, Excel, Outlook, etc.).
• Experience---English Teaching, Teaching, or Educational work experience desirable.
• Education—BA or the equivalent experience, especially in the field of ESL.
Part Six - Confidentiality
The Program Coordinator has access to all participant applications, their transcripts, and other personal information. He/She might be privy to personal and/or academic problems of participants and must respect and maintain the confidentiality of such records.
Part Seven - Contacts
The Program Coordinator interacts with staff across the company to accomplish goals and responsibilities.
He/She will also devote time to working with the program’s participants, host schools and school officials: specifically, routine check-ups on participant’s successes, difficulties, and aspirations.
Part Eight - Working Conditions
The Teach in Korea program coordinator position will be part-time in nature (with potential for full-time progression as program develops) except during the program orientations (late-August and late-February) which will be work intensive week-long activities. The coordinator is directly responsible for the execution of the orientations and is therefore required to actively administer or attend all elements of the orientation.
