Job Description: A) Duties and Responsibilities

„X Provide effective and efficient administration support in contract management area
„X Ensure and enhance project success through effective contract management across all contract lifecycle stages
„X Identify opportunities, within area of contract management, for improvement and avoidance or mitigation of loss
„X Collect and analyze data, prepare reports and build a model for contracting.
„X Understand and effectively manage project related contracts and to fulfill contractual obligations
„X Ensure organization meets its reporting requirements related to outsourcing services
„X Support organization in successful delivery of its various outsourced activities and projects service deliveries
„X Maintain e-copy and hard copy files of all contract related documentation
„X Collect, note and file completed contracts
„X Assist with identification of contractual/performance successes, issues and needs
„X Support administrative processes relating to tendering and procurement
„X Record, code, coordinate, distribute, mail and file bids and quotes
„X Maintain inventory, ordering, and distribution of pricing forms
„X Send bids and quotes follow-up information to Project Managers
„X Administrate contractual obligations placed on the project by the contract
„X Monitor the change control processes required to administer contracts or Purchase Requests issued by authorized project team member and follow up on Purchase Orders
„X Support contract variation process; update contract records and ensure appropriate review and approval
„X Follow up Service Receipt Notes on procured services from outside vendors and other consultants
„X Monitor time for contract resources and ensure adherence to the work rules; conduct vendor assessment report
„X Check customer information for accuracy and pricing; investigate and reconcile price discrepancies
„X Verify pricing on incoming purchase orders and blanket purchase orders; as well as outgoing Purchase Orders, Service Receipts Notes and corresponding vendors¡¦ invoices

B) Authorities:
„X Update and maintain contract database, including all data entry of details from project schedules, notes and payment information
„X Edit bids and quotes; ensure that accuracy and proper formatting is maintained
„X Monitor and evaluate contract compliance, develop corrective action plans.
„X Negotiate vendors¡¦ contract terms, budget and payment terms & rates, and prepare contract documents
„X Draft, manage, and control contracts with independent subcontractors and vendors including terms and mode of payments, contractual agreements and general conditions

„X Excellent record keeping and organization skills
„X Effective negotiation skills
„X Experience in contract negotiation, agreement, and closure

„X Demonstrated capacity to liaise and communicate effectively with a wide range of clients, consultants, vendors and business partners
„X Ability to deal with Vendors and to pool Outsourced resources
„X Previous work experience with databases
