Summary
The Administrative Assistant is primarily responsible for providing administrative support to the Finance & Administration Department. The Administrative Assistant will also provide some general support to the Executive Director. The incumbent ensures that all job responsibilities are completed in an efficient and timely manner so that overall operations run smoothly. S/he reports to the Chief Financial Officer. The incumbent must be able to work well under pressure in a fast-paced environment, handling several projects with minimal supervision from inception to completion while meeting set deadlines.
Purpose and scope
Job knowledge: familiarity with Windows operating system and solid competence with Microsoft Word, Excel and Outlook. Working knowledge of office telephone systems, fax machines and printers. Experience with database usage and working understanding of some accounting operations. Knowledge of appropriate filing procedures. In depth knowledge of office procedures.
Work environment: The incumbent works independently to perform the work assigned to the position and is expected to inform his/her supervisor of any abnormal situations or occurrences. The position involves tasks which require a level of judgment to complete properly. Work involves a high degree of detail which must be executed with a minimum of error.
Decision making: Requires a moderate degree of supervision and routine decision making within parameters established by supervisor.
Interpersonal relations: The nature of the duties of the position puts the incumbent in contact with all members of the staff. Skill in dealing with differing personalities and requests is essential.
Management span: Responsible for assigned daily and periodic office procedures and projects. The incumbent is relied upon to complete his/her work with minimal supervision and with attention to detail.
Principal duties
- Open, sort and distribute incoming mail; post outgoing mail and overnight deliveries; arrange courier deliveries.
- Provide cash receipts control; make bank deposits and enter donation information in financial records.
- Assist with arrangements for SLDN representation at Pride events around the nation.
- Ensure that the office is clean, orderly and prepared for staff use at all times. Coordinate maintenance of office equipment and associated vendor relationships; coordinate building service requests to the landlord; maintain supply inventory and control the ordering of supplies.
- All other duties as assigned.
Experiential and educational qualifications
A bachelor’s degree from an accredited institution and a minimum of one year of administrative experience.
