Purpose & Scope
The HRIS Administrator provides administrative support to the HR Business Line. The work is primarily focused on HRIS and data entry. This includes creating reports, personnel file maintenance, timesheet data entry and national employee information.
Functions / Responsiblities
Responsible for the updating of all national employees data for HQ and KJO. Enters information data relating to approved human resources forms including, new hires/terminations and leaves of absence information for HRIS input. Responsible for ensuring the integrity of the information in the HRIS ensuring that salaries, grades and levels are correct and that other records are consistent with the approved salary matrix.
Creates ECNs (Employee records in the HRIS) for new hires. This requires liaison with relevant HR sections and locations to obtain the required back up information relating to the employee and the coding necessary to input correctly.
Creates new Job codes for new positions in the HRIS. Ensures the accuracy of the Job codes as per job grading. Follow established guidelines to ensure there is no repetition of codes and titles in the HRIS and the job title reflects that shown in the organization charts, job descriptions and job evaluation records.
Responsible for ensuring that employee separation documentation and lists are completed prior to employee departure. This requires contact with Payroll, Security, Admin and IT Departments to ensure the company`s belonging are returned back before the employee exits.
Ensures that the Manager, Personnel Administration is advised of all employee separations, to allow him the opportunity to conduct an exit interview or collect as much information as possible for separation reporting.
Maintains the Leave Tracking System which includes creating new hire data entries in the System; removing separated employees as well as tracking transfers and promotions.
Provides advice as requested to all managers and supervisors on all aspects of the HRIS.
Assists all HR staff in implementing any new HR systems or modifications. This includes all aspects of :
Data input
Preparing the necessary information and lists
Distributing information and letters to employees
Training individuals.

| Capacités Requises: |
Bachelor`s Degree in Business Administration or Human Resources or equivalent.
Minimum of 3 years experience in an administrative role within an HRIS environment.
Excellent communication skills.
