Accountabilities:
Office Manager, Head of Administration
• Settling new offices in new location and manage the provision of office services;
• Design, establish and provide managerial supervision of all staff services, including the setup and administration of insurances, visa and work permits, medical, recreational and schooling;
• Management of all administration facilities related to expatriates;
• Management and supervision of all tasks related to Offices;
• Ensure catering facilities and services are provided to the Company’s employees;
• Administer and communicate HR policies and procedures aligned with business objectives;
Logistics Coordinator
• Provide efficient and effective Import and export services to customers at the highest possible level of HSE and at the lowest possible cost.
• Manage, direct and control all activities related to the clearance of goods, equipment and materials to be imported and/or exported to/from Iran.
• A thorough knowledge of the Iranian Customs rules and regulations, as well as quickly and extensively learning the buy-back contract specific Import and Export Procedures.
• All documents required for the successful import/export of materials and equipment and resources,
• Checking of documents submitted by suppliers and contractors,
• Routing of documentation through the various Iranian Authorities.
• Liaise with NIOC/POGC/NIGEC and Custom Officials.
• Liaise and manage the (supply base) contractor or agent appointed for the (local) clearance process.
• Liaise with (Kish Island and Jebel Ali) supply base staff on the import of materials and equipment.
• Manage all documents such that all duties paid are reimbursable under Non-Capex.
• Process the Goods Received documentation.
• Establish fully inclusive database and filing process of all transactions and documents of the clearance process.
• Liaises and communicate with client (POGC) and customers (i.E. Offshore Delivery and Onshore Delivery Teams, and Operations), asserting client’s and customer’s demands and directing the responses to these demands.
• Systematically and analytically review the import/export processes and implement improvements where necessary.
• Maintain records of performance, develop, maintain and improve Key Performance Indicators for the import/export clearance services.
Executive Administrator to CEO
• In Charge of all communications with the Executive Management of Petroleum Ministry;
• Coordinating and follow up of all bidding process documents regarding to new business development with the NIOC head quarters;
• Liaising with executives within and outside the organization.
• Arranging conferences, seminars and exhibition representations for senior management.
• Public Relation affairs by being in contact with other Total sections and related suppliers.
• Liaison with French embassy for passport renewal, consulate cards, registration to embassy for expatriates living in Iran, also receiving personnel on board from sites and assist French embassy to update their information.
