Receptionist
SUMMARY
Provide personal administrative support to all the different Departments. Duties include general clerical, receptionist and project based work. Project a professional company image through in-person and phone interaction.
Primary Responsibilities
1. Setup and coordinate meetings and conferences.
2. Create, transcribe, and distribute meeting agendas and minutes.
3. Answer telephones and handle in appropriate manner. Receive and screen incoming calls, taking clear messages, returning calls and scheduling appointments
4. Exercise highest level of confidentiality when handling telephone calls, correspondence and visitors
5. Meet and greet clients and visitors.
6. Perform general clerical duties to include but not limited to: photocopying, faxing, mailing, and filing.
7. Research, price, and purchase office furniture and supplies.
8. Supervise support staff.
9. Producing documents, briefing papers
10. Liaising with clients, suppliers and other staff organizing and storing paperwork, documents and computer-based information
11. General administrative tasks to support the departments.
Skills and Attributes Required: Must have a minimum of five years administrative and/or secretarial experience. Excellent written and verbal communication skills, high ethical standards and integrity, motivated self-starter with the ability to follow instructions, able to work efficiently with the others. The knowledge of computer software and office machines is required.
We require a very methodical and resolute person, with strong organizational and communication skills who is client orientated.
Formal Qualification in Administration, from a Secretarial School or similar.
High knowledge of MS Office tools.
Bilingual (English / Spanish) is a must. Other European languages is a plus.
Minimum of three years of experience carrying out tasks of similar responsibility.
Starting salaries generally range between 18.000 -20.000 euros per year
