Position Details
Position: Executive Assistant to Project Director
Reports to: Project Director/Sr. Management Team
Department: Saadiyat Island Project Location: Abu Dhabi
Job Summary
This position requires the person to coordinate & manage the business affairs of & provide full administrative support to the Project Director (PD) and project management team.
Duties & Responsibilities
Assists the Director by performing secretarial, administrative, organising and research tasks requiring a sound understanding of organisation policy and structure
Liaise effectively with Sr. Executives and external contacts on behalf of the PD
Coordinate and organise meetings/seminars within the company, and with external providers and assist with the preparation of presentations, agendas and minutes
Screen incoming mails and telephone calls, action responses & redirect correspondence where necessary
Standing in for the manager and making decisions and delegating work to others in their absence
Organise and coordinate travel requests for the PD and other members of the Sr. Management team where and when required.
Propose improvements to internal processes and procedures for the efficient and effective administration of all office procedures in the PD’s office
Maintains confidential records and filing of reports, correspondence and related material for ease of retrieval.
Carrying out specific projects and research
Other duties as assigned
Qualification
Specific skills required
Sound knowledge of Microsoft Outlook, Word and Excel, PowerPoint and Access.
Excellent people skills
Excellent working knowledge of e-mail and Internet
Experience in Database Management.
Accurate word processing skills
Ability to collate information accurately
Able to work alone with minimal supervision
Ability to maintain confidentiality of all Department/ Company matters
Ability to handle a variety of tasks simultaneously
Able to prioritise work

Experience
5+ years secretarial experience of which at least 2 years at an Executive/Senior role; prior experience with Consulting /Project Management firms an advantage
