The Payroll Specialist II is responsible for managing and processing complex multi-state payroll operations while ensuring compliance with federal, state, and local regulations. This role requires payroll experience to identify where procedures may need to be developed to ensure regulatory requirements are met.
This position handles daily and bi-weekly payroll processing, analysis, and auditing of all payroll functions. The Concentra payroll team is responsible for ensuring timely and accurate payroll for approximately 14,000 employees. The position will report to the Manager, Payroll Services and can be a hybrid or remote role depending on the employee's home base.
- Payroll Processing: Process bi-weekly payroll while ensuring compliance with federal, state, and local wage and hour laws. On average a payroll processor will manage up to 4000 employees across 23 payroll cycles; volume is distributed among team members. Handle sensitive and confidential information with mature judgement and integrity. Thoroughly audit payrolls during and after processing to ensure data accuracy and approval requirements are met, and address audit findings to satisfy internal and external audit requirements.
Process off-cycle payments including termination payments in accordance with state regulations. Manage separation (severance) agreements timely and accurately based on terms. Follow SOX/internal control requirements related to payroll processing. - Research & Documentation: Research and resolve complex payroll discrepancies and employee inquiries. Run and analyze payroll reports and metrics to ensure accuracy, timeliness, consistency, compliance and mitigation of errors. Identify recurring issues and recommend process improvements to enhance service quality and efficiency.
- Customer Service: Serve as the primary escalation point for payroll inquiries and discrepancies. Deliver high-quality customer service to employees, HR, and leadership regarding payroll needs. Interpret and communicate payroll policies, procedures, and legal requirements clearly and professionally.
- Departmental Support: Support departmental needs during peak periods (vacation, holiday, year-end) and support process improvements and automation initiatives.
- Education Level: Bachelor's Degree in Accounting, Finance, Business Administration, or Human Resources from an accredited college or university. Other combinations of education and experience may be considered as equivalent.
- Certifications/Licenses: FPC or CPP preferred but not required.
- Experience:
At least three years of payroll experience, preferably in a multi-state or large-company environment. - Core Competencies:
Service mentality, attention to detail, sense of urgency, initiative, and flexibility. - Skills:
Ability to make decisions using logic, strong customer service, handling sensitive information (including HIPAA/PHI) per laws and policies, knowledge of payroll laws and compliance, strong communication, organization, problem-solving, and time-management skills. Ability to meet strict payroll deadlines. Experience with Oracle and UKG Pro Workforce Management. Excel skills such as VLOOKUP, XLOOKUP and Pivot Tables are beneficial.
