Qualifications
  • License and Certification: None Required
  • Education: H.S. Diploma or General Education Degree or equivalent Required
    Bachelor’s Degree in related field Preferred
  • Experience: 3 years in an office/clerical environment Required
    Experience in a K-12 setting Preferred
  • Skills: Ability to communicate with others in an effective and tactful manner
    Ability to communicate courteously with other district employees, parents, and the public
    Excellent organizational and time‑management skills
    Ability to manage multiple priorities
    Ability to work as an effective team member
    Ability to represent Gwinnett County Public Schools (GCPS) in a positive and professional manner
    Strong computer skills with a working knowledge of Microsoft Office programs including spreadsheet management, graphics, report production, and related technology skills
    Ability to record and issue minutes of meetings by shorthand and/or computer
    Strong calculator and mathematics skills
    Ability to learn new software packages
    Ability to follow oral and written instructions quickly and accurately
    Excellent telephone and public relations skills
Primary Responsibilities

Assist in the organization, support, and coordination of all office administration and projects for the Fine Arts Office.

  • Provide world‑class customer service regarding all Fine Arts program inquiries.
    • Serve as the first line customer service contact for the Fine Arts Office.
    • Maintain and manage all incoming communication relating to the office.
    • Research, review, and respond to customer inquiries in an accurate and timely manner.
  • Assist in managing concurrent tasks effectively and complete all fine arts assignments by the designated deadlines.
  • Facilitate arrangements for meetings and professional development classes.
    • Organize and maintain professional learning records.
  • Anticipate and effectively support supervisor’s job related needs.
    • Generate reports to provide data analysis for various programs.
    • Handle routine matters in a professional manner in the absence of the Director of Fine Arts.
  • Maintain an effective and efficiently run office, including the maintenance of accurate files and the generation of printing requests, copies, and other resources as needed.
  • Maintain records and files for the Director of Fine Arts in an efficient, orderly, and accurate manner.
  • Assist in monitoring the monthly budget reports and submit all balances to the Director of Fine Arts on a monthly basis.
  • Assist in developing accurate budget amendments and travel requests.
  • Assist in preparing and reviewing annual budgets for accuracy.
  • Cooperate with and demonstrate a positive relationship with division, department, and other district employees.
    • Communicate information concerning the Fine Arts program to a variety of audiences, including parents, community, and school-based personnel as approved by the Director of Fine Arts.
  • Support supervisor by being knowledgeable of department programs and procedures.
  • Assist with various financial and accounting duties for the Fine Arts Office.
    • Submit miscellaneous payroll and other accounting tasks as required.
    • Process purchase orders through People Soft system and maintain current program budget balance.
Physical Demands

While performing the duties of this job, the employee is frequently required to sit for extended periods of time. The employee is also required to talk, hear, stand, and walk. The employee may be required to use hands to touch, handle, feel, and/or reach. The employee is occasionally required to stoop, kneel, or crouch. The employee must occasionally lift and/or move up to 25 pounds.

Specific vision abilities required by this job include close vision, distance vision, color vision, depth perception, and ability to adjust focus. The employee is required to operate a motor vehicle in performance of duties. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.
