Research Billing System Analyst

Engineering a world of possibilities at Mines, the Billing Systems Analyst I is responsible for the billing management of sponsored research projects in the Office of Research Administration (ORA). The role serves as a key resource to sponsors, faculty, and campus administrators and requires strong accounting knowledge and critical thinking.

• Set‑up and modify billing schedules in the school’s financial system and ORA’s enterprise project tracking system.
• Create, review, and submit monthly, quarterly, and annual sponsor invoices, ensuring compliance with sponsor terms and GAAP.
• Resolve billing discrepancies, short‑payments, and unbilled reports through analysis of accounting records and collaboration with ORA staff and the Controller’s office.
• Perform monthly reconciliation of the campus financial system unbilled report and identify required actions.
• Process disbursements required to discharge financial obligations to sponsors, including refunds and award close‑outs.
• Produce ad‑hoc reports from Mines Financial System, Cognos, or other databases for tracking and financial analysis.
• Monitor daily cash receipt transactions and apply payments accurately to award balances.
• Collect accounts receivable via analysis of aging reports and perform collections as necessary.
• Lead and participate in office‑wide process improvement initiatives, evaluating efficiency and resource utilization.

• Bachelor’s degree in accounting, finance, business administration, or equivalent experience.
• Two or more years of experience with accounts receivable, cash receipts, and account reconciliations.
• Proficiency with complex federal invoicing websites and interpretation of legal terms.
• Advanced spreadsheet skills (formulas, checks, balances) and database/table data extraction.
• Strong customer service abilities and the ability to work effectively with diverse sponsor representatives.
• Excellent oral and written communication skills and the ability to meet multiple deadlines with high accuracy.
• Knowledge of federal and institutional research regulations, GAAP, and standard invoice formatting.
• Experience with higher‑education or government accounting, GASB, or Uniform Guidance is preferred.

• Annual salary range: $59,000 – $63,000.
