This position will coordinate all administrative functions and provide multifaceted administrative support to department management and staff. Responsibilities include scheduling appointments, coordinating incoming mail, maintaining the calendar, arranging travel, arranging meetings, running and tracking projects, producing reports and presentations, preparing and updating functionally related records, and participating in special projects.
Job Duties / Responsibilities- Provide secretarial and administrative support to staff and managers.
- Manage calendar, schedule events, travel arrangements, departmental meetings, and arrange conference calls.
- Prepare documents, spreadsheets, presentations, interoffice correspondence, and procedural copies with minimal direction.
- Manage administrative affairs of the department including invoice processing, supply procurement, and training records.
- Handle multiple assignments, meet deadlines, and maintain confidentiality of departmental issues.
- Proactively forward work issues to appropriate managers or supervisors.
- Process expense reports and input employee worked hours into the system.
- Coordinate with executive and senior administrative staff to handle requests and queries from supervisors and managers.
- Perform various additional duties or assignments requested by senior management.
Vocational training, apprenticeships, or equivalent experience in a related field. A four‑year degree is not typically required.
Minimum Experience RequiredAssistant‑Admin III: 4–6 years.
