Role Description
This is a part-time, hybrid role based in Bern, with a mix of on-site event work and some tasks that can be completed from home. The Catering Coordinator / Event Assistant / Operations Executive supports the planning and delivery of internal and external events, meetings, and workshops related to SAP community activities and partner engagements. Day-to-day responsibilities include coordinating catering orders, managing event logistics, preparing event materials, and ensuring venues are set up according to requirements.
The role also involves communicating with vendors and partners, tracking orders and budgets, handling attendee inquiries, and providing on-site support during events. The position requires proactive coordination with internal teams to align event operations with company standards and to ensure a consistent, service-oriented experience.
- Strong interpersonal skills and the ability to collaborate effectively with internal teams, partners, and external vendors.
- Excellent communication skills, including clear written and verbal communication in professional settings.
- Customer service skills with a focus on creating a positive experience for event participants and stakeholders.
- Experience or interest in food service and catering coordination, including handling catering orders and basic logistics.
- Exposure to or interest in catering sales, event coordination, or operations support.
- Organizational and time management skills, with the ability to prioritize multiple tasks in a fast-paced environment.
- Proficiency with standard office software (e.g., email, spreadsheets, documents); familiarity with digital tools for scheduling and coordination is an advantage.
- Reliability and flexibility to support events occasionally outside standard office hours, when required.
- Previous experience in hospitality, events, administration, or operations is beneficial; experience in a technology or consulting environment is a plus.
- Ability to work on-site in Bern for events and operational tasks, with readiness to perform some activities remotely.
