Position: Accounting Assistant I – Accounts Payable

This position is primarily responsible for processing and monitoring payments throughout the city’s automated Accounts Payable System (AP), including all internal reporting and ensuring compliance with policy & procedures and clearing cashed checks in the system.

Pay Grade 15: $28.65 - $31.92 Hourly Remote Tier 3: Up to two (2) days remote/week

Responsibilities
  • Prepare and maintain all Accounts Payable (AP) functions city-wide, including resolving vendor statement discrepancies.
  • Adhere to AP internal controls, including purchase orders, invoice payment approval, W-9 verification for accuracy, etc.
  • Assist in maintaining electronic files relating to AP.
  • Collect, code and deposit receivables, and miscellaneous payments for Public Works, Equipment Maintenance, Recycling, and other departments as needed; invoice and collect on any bad checks.
  • Invoice through Miscellaneous Billing for Recycling monthly solid waste generation tax returns and yearly license renewals.
  • Manage the AP email mailbox, sorting, distributing, answering, and directing inquiries.
  • Manage various credit accounts for multiple city departments.
  • Enter, code, and upload city purchasing card transactions weekly for various departments.
  • Issue and track some purchase orders for Public Works, BPRW, IT City Hall, and Cemetery.
  • Provide training in the city’s ERP System to various departments and new staff.
  • Assist in preparing audit schedules and testing by pulling invoices and backup as directed for the year-end audit.
  • Assess, individually and as part of a team, and recommend ways to reduce the city’s purchasing costs.
  • Perform other responsibilities in the absence of co‑workers and during high‑volume periods as directed.
Qualifications
  • Ability to actively support City diversity, equity, and cultural competency efforts and work effectively across diverse cultures and constituencies.

  • High school diploma and three years relevant experience in accounting required; associate’s degree in accounting or related field preferred.
  • Ability to operate in a Windows‑based environment using word‑processing, spreadsheets, and database software.

  • Ability to work successfully in a fast‑paced environment and with minimal supervision.
  • Ability to organize, prioritize workflow, and meet established deadlines.
  • Ability to analyze data with particular attention to detail.
  • Ability to communicate effectively both orally and in writing.
  • Ability to recognize AP software problems and communicate to Supervisor/IT department and/or vendor technical support.
  • High level of enthusiasm to work within a team environment in a constantly changing organization.
  • Ability to listen to and react appropriately to a supervisor’s constructive criticism and incorporate said criticism to improve performance.
  • Regular attendance necessary and essential to meeting job expectations.
  • Ability to understand and comply with City standards, safety rules, and personnel policies.
