The Lycée international de Calgary is a French‑bilingual school accredited by the French Ministry of Education, Alberta Education and CAIS, serving approximately 450 students.
The school is a not‑for‑profit institution dedicated to nurturing globally‑mindful, bilingual students, promoting academic excellence, cultural diversity, and community responsibility.
Role overview
The Academic Office Coordinator translates the curriculum and mission of the school into daily operations, ensuring faculty have necessary resources, parents are informed of academic progress, and students receive direct administrative and logistical assistance. The role acts as a key point of contact for students and manages data systems and operational logistics.
Main responsibilities
Data & Systems Stewardship: Act as primary user and administrator for student information systems (PASI, Power School, Pronote, EDM), ensuring 100% data integrity for registrations, grades, and parent communication.
Academic Reporting: Oversee production and distribution of official transcripts, provincial diploma reports, and data for the Annual Education Results Report.
Examination & Pathway Logistics: Lead on‑site coordination for all provincial and international exams (including PATs, Diplôme National du Brevet, Baccalauréat) and provide administrative support for post‑secondary applications.
Faculty & Substitute Coordination: Organize substitute schedules, distribute essential classroom resources, and act as bridge between administration and faculty.
Operational & Event Support: Execute end‑to‑end logistics for day and overnight field trips, including risk assessments, vendor bookings, and staff confirmations.
Student Life & Services: Coordinate visibility‑high services such as vaccination clinics, school photography, and external athletic facility bookings while providing direct logistical guidance to students.
Strategic Communications: Draft routine academic notices to parents & faculty and analyze internal survey data to deliver actionable insights to leadership.
Required qualifications
Bilingualism: Fluency in French and English.
Post‑secondary diploma: Minimum two‑year program in Office Administration, Business Administration, or equivalent.
Spreadsheet skills: Proficiency in Google Suite and Microsoft Office.
Preferred qualifications
Project‑management certification: Desired.
Alberta Education system (PASI) proficiency: Advanced navigation for student records & provincial reporting.
School‑management software: Administration of Power School and Pronote.
Employment conditions (first 30 days)
Vulnerable‑sector background check: Provide current police clearance.
First Aid & CPR (Level
C): Obtain or provide proof of certification.
FOIP / privacy training: Complete mandatory Alberta privacy & data stewardship training.
Proof of Canadian citizen, permanent resident or valid work permit, unrestricted.
