Key Responsibilities
  • Convene kick‑off meetings, schedule proposal tasks, and oversee proposal production and delivery.
  • Adhere to assigned proposal tasks and meet critical deadlines.
  • Collaborate with internal and external contacts to collect necessary information and materials.
  • Monitor proposal efforts, ensuring milestones are achieved in a timely manner.
  • Assist in crafting marketing and technical content.
  • Proofread materials to ensure compliance with legal, technical, and marketing standards.
  • Support presentation development, including preparing materials and coordinating logistics.
  • Manage and update detailed data within GAI's Deltek Vantagepoint database.
  • Assist in various marketing activities to align with pursuit and business objectives, including conferences, events, sponsor ships, and award submissions.
  • Participate in additional projects and programs as they arise.
Qualifications
  • 5+ years of relevant experience, preferably in proposals within the AEC industry.
  • Associate or Bachelor’s degree in business, marketing, or a related field.
Skills
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).
  • Experience with Adobe Creative Suite.
  • Familiarity with Deltek Vantagepoint or similar database software is a plus.
  • Strong proofreading and editing abilities.
  • Excellent communication and organizational skills.
  • Able to quickly and accurately process information with a keen eye for detail.
  • Flexible and capable of managing multiple tasks within tight deadlines.
  • Ability to work independently and within a team.
  • Willingness to work flexible hours, including occasional nights and weekends, to meet deadlines.
  • Must be able to travel to surrounding states as required, with access to a vehicle for local travel.
