Salary Range: $78,000.00 To $ Annually

Fleet Manager

The Fleet Manager is responsible for the overall management, compliance, maintenance, and optimization of the company’s vehicle fleet. This role oversees fleet operations to ensure vehicles are safe, compliant, cost‑effective, and available to support business operations. The Fleet Manager provides leadership to fleet support staff and serves as the primary point of contact for fleet policies, vendors, and regulatory compliance.

Reports To: Director of Operations (or designated executive leader)

FLSA Status: Exempt

Essential Duties and Responsibilities
  • Oversee the acquisition, assignment, utilization, and disposal of company vehicles.
  • Maintain accurate fleet records, including vehicle inventory, registration, titles, insurance, inspections, and maintenance history.
  • Ensure full compliance with Department of Transportation (Use the "Apply for this Job" box below). applicable state and federal regulations.
  • Manage preventative maintenance programs to ensure vehicles are properly maintained, serviced, plated, licensed, and repaired.
  • Oversee fuel and corporate gas card programs, ensuring data integrity, usage controls, and cost monitoring.
  • Coordinate driver qualification files, including Commercial Driver’s License (CDL) records where applicable.
  • Develop, implement, and enforce fleet policies and procedures.
  • Supervise and support fleet administrative staff and/or fleet assistants.
  • Serve as the primary liaison with vendors, leasing companies, maintenance providers, and insurance partners.
  • Analyze fleet costs and recommend strategies for cost reduction and operational efficiency.
  • Investigate accidents, coordinate claims, and ensure timely reporting and documentation.
  • Prepare reports related to fleet performance, compliance, and expenses.
  • Support internal departments with fleet-related needs and projects as assigned.
Position Requirements
  • High school diploma or equivalent required; associate’s or bachelor’s degree preferred.
  • 3–5 years of experience in fleet management, transportation, or a related field.
  • Working knowledge of DOT regulations, vehicle compliance, and safety standards.
  • Strong organizational and administrative skills with high attention to detail.
  • Ability to work independently and manage multiple priorities with minimal supervision.
  • Proficiency in Microsoft Office products, including Word, Excel, and Outlook.
  • Strong communication and problem‑solving skills.
  • Ability to handle confidential information professionally.
Work Environment & Physical Demands
  • Office-based with occasional travel to field locations or vehicle yards.
  • May require occasional lifting of files or light equipment.
  • Regular interaction with drivers, vendors, and internal stakeholders.
