Responsibilities
- Maintain leadership's calendar (CEO, President, VP, Director)
- Answer phone and route calls to appropriate personnel
- Respond to inquiries about the company and greet visitors
- Coordinate and schedule meetings, conference rooms, and teleconferences
- Manage mail flow, collect parcels, and distribute mail
- Attend executive management team meetings, act as recording secretary, take formal minutes, prepare action items, transcribe and distribute to team members
- Serve as liaison between the corporate office and the property management company
- Oversee routine maintenance of office equipment and act as point of contact for the security alarm system
- Coordinate office activities and perform filing, clerical duties, and prepare travel vouchers
- Validate parking, take and relay messages, and disseminate information via telephone, e‑mail, and website
Strong written and communication skills, ability to meet deadlines in a fast‑paced, high‑volume environment, multitask, strong interpersonal and organizational skills, and strong customer relations skills. Able to work independently with little or no supervision.
Clearance: TS/SCI with CI Poly.
Education:
High school diploma required;
Bachelor’s degree desired.
Minimum of 9 years total work experience, including 5 years of administrative assistance experience.
Work, Physical, and Mental RequirementsThis is a largely sedentary professional office role. The position involves standard office equipment such as computers, phones, photocopiers, scanners, filing cabinets, and fax machines. Physical demands include moving files or boxes, bending or standing as necessary, and lifting up to 40 pounds. Mental demands include reading, effective verbal and written communication, and maintaining emotional control and professionalism.
