Manages and oversees the operations of the accounts payable and accounts receivable division. This position is a grade E17; pay is $92,160.00/annually.
ESSENTIAL DUTIES AND RESPONSIBILITIES- Provides leadership and direction throughout the accounts payable and accounts receivable process.
- Oversees and guides the implementation of best practices throughout the division.
- Reviews trial registers prior to generation of accounts payable checks or ACHs.
- Reviews monthly aging reports and ensures that all issues are resolved.
- Processes all immediate check requests.
- Resolves payment issues with customers including, but not limited to, establishing alternative payment schedules.
- Ensures checks and ACHs greater than $10,000 and greater than $50,000 are approved and signed by the appropriate individuals prior to release.
- Maintains security of check printer and ensures all accounts payable checks are logged.
- Ensures Supplier master file is accurate, complete, and contains no duplicates; and that any new Supplier setup or change is reviewed and approved.
- Prepares and distributes 1099 Forms.
- Responsible for coordination of Powwow and SUIT Fair payouts.
- Ensures bills are generated and mailed in a timely and accurate manner.
- Reviews accounts receivable aging reports and ensures that steps are taken to collect on all accounts.
- Ensures that appropriate supporting documentation for payments and bills is maintained.
- Ensures that accounts receivable and accounts payable subsidiary ledgers agree to the general ledger.
- Ensures adherence to accounts payable and accounts receivable policies and procedures both within the division and throughout the organization. Evaluates at least annually and recommends changes to policies and procedures as appropriate.
- Responsible for the personnel management of the AP/AR division to include recruitment, supervision, training, performance evaluations, disciplinary actions, and termination, in accordance with Tribal Personnel Policies and Procedures.
- Responsible for daily cash drawer reconciliation and bank deposit preparation and processing.
- Responds to requests from the Controller or Chief Financial Officer.
- Performs other job-related duties as requested.
- Must have a BA/BS in Accounting or related field and 3 years of experience in Accounts Payable or Accounts Receivable OR 8 years of experience in an accounting position, which includes 3 years of Accounts Payable or Accounts Receivable experience.
- Must have 3 years of supervisory experience. A combination of relevant education and experience may be considered for part of the years of experience, e.g. leadership/supervisory training, senior finance position.
- Must have computer experience in software programs including Microsoft Word, Excel, and Access.
- Must pass a thorough criminal history background check and pre-employment drug test.
- Working knowledge of People Soft or other ERP system in Accounts Payable and Accounts Receivable modules.
