Duties may include supporting and playing an active role in performing HR duties such as resource recruitment support, employee performance management administration, assisting with insurance renewals, supporting contract management and filing activities, assisting with space management and planning, supporting physical office maintenance management and planning, cost monitoring, OH&S management, and general facilities management. A willingness to be involved in new and ever-evolving office-related duties is required.
Key Responsibilities:
- Support key office processes and toolsets used in the general management of the physical office and digital office. This is not a technical role, but an administrative role that will require a willingness to be involved with the usage and management of technical toolsets. Processes and toolsets may include data management systems, office security systems, filing systems, contact systems and more.
- Support the lifecycle of an ESTI employee or contractor through resource identification, resource allocation and contract monitoring.
- Support policy creation and maintenance.
- Assistance with insurance renewal cycles.
- Support safety and policy requirements and reporting.
- Support HR duties in support of the HR Manager.
- Resource Recruitment activities: job description maintenance, postings, screening/vetting of candidates, Job Fair support.
- Performance Management tool administration and process support.
- Document office processes and maintain them.
- Maintain awareness of external factors that may affect the head office and remote/virtual offices.
- Assist with office storage, physical and digital, and organization.
- Communicates well with our team and can understand other team members’ skills and abilities
- Can determine needs and objectives of management and understand requirements and limitations
- Acts to understand others and areas of concern; listens and acts as appropriate
- Consistently delivers accurate, clear and concise verbal and written messages
- Demonstrates strong interpersonal skills
- Able to communicate professionally, representing ESTI among our clients, staff, potential staff and colleagues
- Manages tasks without prompting from a supervisor and follows through on commitments
- Is able to work independently or as part of a team
- Takes on challenging tasks and completes them in a timely manner
- Has the ability to take on various projects at a time and can multi-task

- Adept with technology including MS Office Suite, book keeping applications, and related tools

- Analyzes the potential costs and benefits of various alternatives before making a decision
- Strong ability to seek out resources and research for learning
- Postsecondary education in a related area
- Familiarity with MS Product Suite (Word, Excel, Outlook) and MS file systems.
