About Role
Our client is the largest automotive company in the United States & Canada
, and we are seeking a highly organized, proactive, and detail-oriented Business Assistant to provide comprehensive administrative and operational support to the leadership team and technical department
. This role is ideal for someone who thrives in a fast-paced environment, anticipates needs, and manages multiple priorities with professionalism and discretion.
- Administrative Support: Manage complex calendars, schedule meetings (virtual & in-person), prepare agendas, take minutes, and track action items.
- Communication & Coordination: Act as the primary point of contact, screen and prioritize communications, draft correspondence, and ensure smooth information flow.
- Project & Event Coordination: Assist with technical projects
, workshops, and team events, including logistics and vendor coordination. - Travel & Expense Management: Arrange domestic/international travel and process expense reports accurately.
- Document Management: Organize and maintain sensitive technical documents, reports, and presentations.
- Operational Support: Handle office equipment requests and assist with onboarding new technical hires.
- Data & Reporting: Compile data, create basic reports, and assist with presentations.
- Strategic Support: Help execute strategic initiatives and identify process improvements for efficiency.
- Experience:
- 3+ years in administrative support roles (Executive Assistant, Business Assistant), ideally in technology, engineering, or R&D.
- Proficiency in Microsoft Office Suite and collaboration tools (Teams, SharePoint, Google Workspace).
- Exceptional organizational and time management skills.
- Strong verbal and written communication with attention to detail.
- Ability to handle sensitive information with discretion.
- Proactive, problem‑solving mindset; able to work independently and collaboratively.
- Preferred: Familiarity with project management tools (e.g., Jira) and technical terminology.
