Position Summary

The Database Coordinator (DBC) supports the ongoing administration and optimization of the Intermountain Division’s Well Sky and HMIS systems across Utah, Colorado, Wyoming, and eastern Montana. This role manages licensing, customizes data entry screens, develops reports and dashboards, and ensures system functionality aligns with the needs of DHQ, Corps, and program leadership. The DBC provides division-wide user support and training, maintains data integrity, and analyzes service outcomes to produce actionable insights that inform leadership decisions and strengthen funder reporting.

In partnership with the Intermountain Social Services team, the DBC leads divisional data governance efforts, including compliance monitoring, outcome measurement implementation, and coordination of required data‑sharing with multiple state HMIS systems. The role ensures consistent, accurate, and mission-aligned reporting through the production of monthly, quarterly, and annual impact reports, supporting program effectiveness and accountability across the Division.

Duties and Responsibilities Division-Wide System Oversight
  • Support the mission, purposes, and goals of The Salvation Army through the implementation and usage of Well Sky and HMIS database software.
  • Guide system development by recommending internal IM Well Sky policies that respond to agency needs and to state, federal and other funding mandates.
  • Ensure user licensing and compliance with state and federal guidelines.
  • Coordinate IM data gathering, analysis and reporting among Corps and Divisions as needed for funding agents, including The Salvation Army’s National Statistical System (NSS) stats for outcome evaluation.
  • Participate in Territorial/National Well Sky steering committees and related sub committees as assigned.
  • Support the integration of Pathway of Hope and other IM program workflows.
  • Register as the Data Partner Agency Liaison (DPAL) for Denver area HMIS.
  • Other duties as assigned.
Staff Training
  • Work with end users to enhance IM’s database effectiveness through utilization review, data evaluation and coordination of input from users, management and divisional leadership.
  • Design training to address identified needs and provide training as indicated.
  • Assist with dissemination of information on available training opportunities.
  • Promote the use of Well Sky, HMIS and reporting accountability in IM.
  • Create/update training videos and reference guides as changes occur for end users.
  • Schedule and regularly conduct virtual trainings on various topics to increase user knowledge to capture accurate service data and reduce errors.
  • Provide in-person and virtual trainings for new and current users throughout the division (individuals and groups).
  • Use strong communication skills to provide proactive customer service to new and current users.
Needs Analysis
  • Assess system and training needs of social services personnel in corps/units through interaction, periodic surveys, and other assessment tools.
  • Improve system functionality as needs are identified. Work through approval channels at Territorial Headquarters.
