Clinical Systems Manager
The Clinical Systems Manager is responsible for the administration, optimization, training, and ongoing support of the practice's clinical technology systems, including the electronic medical record (EMR), imaging platforms, and related applications. This role serves as the primary liaison between clinical staff, physicians, leadership, and external technology vendors to ensure systems effectively support patient care, operational efficiency, and organizational growth. The Clinical Systems Manager does not perform network or infrastructure administration but is responsible for coordinating with managed service providers and software vendors to ensure timely resolution of issues and successful execution of technology initiatives.
Key Responsibilities Clinical Systems Administration- Serve as primary administrator for the EMR and related clinical applications.
- Manage user accounts, permissions, security roles, and provider templates.
- Troubleshoot application issues and coordinate resolution with vendors.
- Maintain system documentation and standard operating procedures.
- Monitor system performance and identify opportunities for improvement.
- Analyze clinical and operational workflows across all locations.
- Partner with physicians, technicians, scribes, and administrative staff to improve efficiency.
- Design, implement, and maintain EMR templates, forms, macros, and workflows.
- Lead process‑improvement initiatives that improve patient flow, documentation quality, and provider productivity.
- Standardize workflows across locations when appropriate.
- Develop and deliver training programs for new hires and existing staff.
- Create tip sheets, training materials, and workflow guides.
- Provide at-the-elbow support during system updates and workflow changes.
- Monitor adoption and identify training opportunities.
- Serve as primary liaison with managed service providers and technology vendors.
- Coordinate support requests, escalations, upgrades, and implementations.
- Maintain inventory of software licenses and technology contracts.
- Assist leadership with technology planning and vendor evaluations.
- Coordinate technology projects, including EMR upgrades, cloud migration initiatives, software implementations, and workflow redesign efforts.
- Manage project timelines, testing, communication, training, and go‑live readiness.
- Track issues, risks, and project status and communicate updates to leadership.
- Assist leadership in identifying operational and clinical reporting needs.
- Coordinate report development with vendors and internal stakeholders.
- Maintain key operational dashboards and reporting tools.
- 3+ years supporting EMR/EHR systems in a healthcare environment.
- Strong understanding of ambulatory clinic workflows.
- Experience training clinical and administrative staff.
- Excellent communication and project coordination skills.
- Ability to work effectively with physicians, clinical staff, vendors, and leadership.
- Experience with eCW or comparable EMR.
- Ophthalmology or retina practice experience.
- Experience supporting multi‑site physician practices.
- Experience with workflow redesign and process improvement.
- Familiarity with imaging systems and healthcare interfaces.
- Establish formal EMR governance and issue‑tracking process.
- Develop standardized training program for new hires.
- Complete cloud migration coordination responsibilities.
- Standardize key clinical workflows across locations.
- Improve provider and staff satisfaction with clinical systems.
- Create technology roadmap and system inventory.
