Admissions Assistant

Reporting to:
The Registrar

Responsible for:
The provision of an efficient and effective admissions service ensuring a seamless and professional experience for prospective parents and visitors.

Employment Details
  • Full‑time position, entitled to 25 days paid leave per year.
  • Located at the Prep School; working hours Sunday to Wednesday 7:00‑15:00 and Thursday 7:00‑14:00 during term time.
  • Out of term time, may be located in the Central Office at the Senior School.

Roles and Responsibilities
  • Act as first point of contact for admissions enquiries by phone, in person and on email.
  • Coordinate the admissions process from the initial enquiry through to enrolment, collaborating with other key parties as required.
  • Ensure effective follow‑up of all enquiries, visits, registrations and offers.
  • Ensure accurate maintenance of pupil records in the school’s management information system – iSAMS.
  • Follow up with parents and schools regarding missing documentation for Ministry of Education and Higher Education (MOEHE) registration.
  • Update pupil data on the MOEHE system (NSIS).
  • Be responsible for planning admissions interviews and testing of applicants both on site and overseas.
  • Provide administrative assistance to Academic Heads and the Registrar as required.
  • Work collaboratively with the administration team to ensure the smooth running and processing of school tours.
  • Provide reception cover as and when required.
Person Specification
  • Professional and courteous attitude especially under pressure with deadlines and conflicting interests.
  • Efficient and highly organised work practices and an eye for detail.
  • High level of computer literacy and confidence in all aspects of Microsoft Office.
  • Ability to operate the School Management System (iSAMS) (training will be provided).
  • A confident and professional telephone manner.
  • Ability to work autonomously with minimal direction.
  • A fully supportive, proactive and integrated team player.
Desirable Qualification, Experience and Skills Requirements
  • Excellent standard in written and spoken English is essential.
  • An understanding of the Arabic language is highly desirable.
  • Previous experience of working in a school environment is desirable.
  • Previous experience of working with the MOEHE.
