GENERAL DESCRIPTION:
The Registrar of Student Services & Information Systems serves as the district wide lead coordinator for student registration, residency verification, enrollment, attendance reporting and Student Information Systems (SIS) management. This position is responsible for overseeing the integrity, accuracy and compliance of all student enrollment and attendance data while serving as the primary administrative and technical liaison for Power School and related district applications.
The Coordinator supports district wide student services operations by managing student registration processes, verifying district residency, supporting Illinois State Board of Education (ISBE) reporting requirements, maintaining accurate student records, and providing training and technical assistance to school-based staff. This role also collaborates closely with district administration, the Business Office, Technology Department, and school offices to ensure compliance with state laws, district policies, and operational procedures.
QUALIFICATIONS:
To perform this job successfully, the Student Registration, Attendance & Power School Systems Coordinator must be able to perform essential duties satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required. This position requires a high level of proficiency in written and oral communication skills.
Education & Experience:
- Bachelor's degree in Education, Technology, Data Management, Business Administration, or related field (required)
- Demonstrated experience with Power School SIS or similar student information systems
- Experience working with student attendance, enrollment, registration, or school data systems
- Strong data management, reporting, troubleshooting, and organizational skills
- Experience in a K 12 school district environment preferred
- Knowledge of Illinois attendance, enrollment, and ISBE reporting requirements preferred
- Strong communication, customer service, and staff training skills
- Experience with student residency verification procedures preferred
Student Registration & Residency Verification
- Oversee and coordinate district wide student registration and enrollment processes.
- Review, verify, and approve student enrollment documentation in compliance with district and state requirements.
- Confirm and verify that students reside within District 148 attendance boundaries through review of residency documentation and supporting records.
- Collaborate with families, registrars, school staff, and administration regarding residency concerns, enrollment eligibility, and registration compliance.
- Monitor and maintain accurate student demographic, enrollment, residency, and withdrawal records.
- Assist with student transfers, records requests, and student record management.
- Support district investigations and follow-up related to residency verification and enrollment discrepancies.
- Develop and maintain registration procedures, guidance documents, and compliance protocols.
- Implement, maintain, administer, and support Power School SIS, Power Teacher Pro, Enrollment Express, and related district applications.
- Create, manage, and maintain Power School reports, including report cards, progress reports, transcripts, official district correspondence, and enrollment reports.
- Manage course setup, scheduling structures, and student information configurations within Power School.
- Troubleshoot and resolve Power School-related issues for administrators, teachers, clerical staff, parents, and students.
- Provide Level 2 technical support for district systems and applications.
- Oversee district wide attendance reporting processes and procedures.
