The Data Entry Clerk is responsible for providing administrative, clerical and data management support to the Purchased/Referred Care (PRC) program. This position ensures accurate entry, tracking, verification, and maintenance of patient medical billing, medical documentation, provider information, and PRC-related records in accordance with Indian Health Service (IHS), Tribal, Federal, HIPAA, and PRC regulatory requirements.
The Data Entry Clerk plays a critical role in maintaining accurate records, supporting operational efficiency, and ensuring documentation compliance for audits, reporting, and ensuring data accuracy and integrity.
Essential Duties and Responsibilities- Entering, updating, and maintaining data in spreadsheets, databases, and other software programs.
- Assist with projects that require large amounts of data entry.
- Organizing, storing, and securing physical and digital files.
- Performs varied administrative and technical duties. The purpose of this position is to support and facilitate operations within the PRC Program.
- Prepares and assists in creating Check Requests for payment of approved medical invoices as per accounting guidelines.
- Review all incoming invoices with current invoices in MIP system to avoid duplication and over payment.
- Responds to inquiries and requests for PRC services assistance via telephone, written communication, or personal visit. Coordinates these requests and provides consultation to resolve problems or issues. These requests in many instances originate from a variety of sources requiring contact with outside agencies and organizations.
- Assists with PRC Registration files for eligibility requirements and updates.
- Tracks and monitors claim processing, resolving outstanding claims. Verifies all identified insurance carriers for eligibility; interprets Explanation of Benefits (EOBs).
- Reviews accounts with credit balances to determine whether an over payment exists. Participates in payer recoupment, offset, payer refund request and voluntary refund process.
- Maintaining strong knowledge of claim processing, data tracking of received medical claims.
- Effectively plan, organize workload, and schedule time to meet the demands of the position.
- Work in a cooperative and professional manner with PRC and KCHC staff.
- Knowledge of the 1974 Privacy Act, Health Insurance Portability and Accountability Act of 1996 (HIPAA), and its requirement involving confidentiality.
- Perform other job-related duties as assigned by PRC Management.

- Employee must demonstrate ability to solve problems and deal with a variety of variables; ability to interpret and provide instructions furnished in written, verbal, diagram or schedule form.
- Knowledge of touch-typing system is strongly preferred.
This position does not carry out supervisory responsibilities in accordance with the organization’s policies and applicable law.

Preferred Qualifications
:
Prefer 2 years related of Data Entry Clerk, office experience in healthcare or office setting.
KTTT recognizes preference for KTTT tribal members and qualified Native American tribal members including preferential treatment in recruitment, hiring, promotions, layoffs and reduction in force as long as they meet minimum job qualifications.
