Job Summary

The Dental Receptionist operates as part of the team with other clinic support staff and healthcare providers, performing clerical, reception, and administrative tasks such as answering and screening phone calls, taking messages, scheduling appointments, obtaining billing information, checking in patients, and maintaining and updating patient demographic data.

Key Responsibilities
  • Greets patients, interpreters and visitors in person and by phone in a prompt, courteous, and helpful manner, responding to inquiries, taking messages, and providing accurate information regarding schedules and services.
  • Checks in, registers, and schedules patients in the practice management system, maintains the appointment schedule, and follows office scheduling policies.
  • Verifies and updates all demographic information in the electronic record at each patient visit.
  • Assists in managing patient flow in a timely and efficient manner, coordinating the distribution of walk‑in and add‑on patients, and interfacing with the back office regarding walk‑in patients, cancellations, recalls, and delays to ensure smooth patient flow.
  • Routes or files documents and mail appropriately.
  • Assists with insurance eligibility verification.
  • Verifies income for sliding‑fee patients and assists in completing the sliding‑fee application as delegated.
  • Receives patient payments, answers or refers billing questions, maintains records of all financial transactions, prepares daily bank deposits, reconciles receipts (cash, checks, bankcard) ensuring accuracy and timeliness, and ensures security under cash management and accounting practices.
  • Orders interpreter and transportation services and interfaces with outside organizations regarding patient services.
  • Assists in confirming appointments as needed.
  • Files, retrieves charts from storage, and logs chart movements accurately and on time to prevent loss of records and ensure confidentiality of patient information.
  • Opens and closes the clinic and reception areas for all business hours.
  • Maintains the work area and reception lobby in a neat and orderly manner.
  • Maintains adequate inventory of office supplies and clinical forms.
  • Performs maintenance and troubleshooting of office equipment and machines, including calculators, copiers, fax machines, and printers.
  • Assists other departments when called upon.
  • Adheres to organizational infection control practices and written plan.
  • Adheres to attendance standards to perform job functions for daily operations and continuity of patient care.

Education
  • High school graduate or equivalent.
Preferred Education
  • Graduate of an accredited Office Skills Certification Program or related field.
  • Graduate of an accredited Dental Administrative Assistant Certification program or related field.
Experience
  • Customer‑service related experience working with the general public (1 year).
  • Clerical, reception, dental assisting, administrative, or secretarial experience (1 year) or a combination of equivalent education and work experience.
Preferred Experience
  • Experience working with insurance/billing in a healthcare setting or insurance organization.
  • Experience in a multi‑provider dental practice.
  • Digital imaging familiarity.
  • Experience with healthcare information systems such as electronic health record and practice management systems.
  • Experience working with low‑income, multi‑ethnic populations.
