GENERAL DESCRIPTION OF POSITION

Provide administrative support for all functional areas of Human Resources and HR Sr. Leadership.

ESSENTIAL DUTIES AND RESPONSIBILITIES

1. Schedules meetings, conference rooms and coordinates resources. Coordinates calendars for department senior management. Creates agendas, meeting minutes, prepares presentations, prepares documents, files, pre-reads, mailouts etc.

2. Schedules travel, hotels, conferences, training, etc.

3. Department event planning ie. quarterly HR staff meeting, holiday events.

4. Answer incoming calls, take messages and/or route calls.

5. Respond to or reassign HR Service Now tickets and emails.

6. Manage office supplies and associated budget.

7. Maintain organization of the HR storage and file room.

8. Process, scan, upload all existing HR personnel files to the HR system of record and maintain electronic personnel filing system.

9. Pull and provide various payment files for review and approval i.e. CTM, DTM

10. Order equipment and submit system access requests for Home Office, DM, DD, Temp DM/DD new hires.

11. Assist in the monitoring and handling and processing of candidate out of pocket expenses, credit card expenses and approvals, invoices, expense reports and budgets.

12. Process Home Office, Contractor and some Field separations in UltiPro and Service Now.

13. Monitor and Communicate/Remediate past due compliance training.

14. Assist in other administrative duties such as GA, TN, LA, AR separation notices.

15. Need Fund grants for approval and payment, corporate sponsorship/donation check requests, etc.

16. Perform any other related duties as required or assigned.

EDUCATION AND EXPERIENCE

High school or GED, plus specialized schooling and/or on the job education in a specific skill area, e.g. data processing, clerical/administrative, equipment operation, etc, plus 2 years related experience and/or training. Or equivalent combination of education and experience.
