Monday through Friday, 40 hours a week with occasional evenings, weekend hours, and holidays. Hours may change based on business need.

Qualifications

Minimum Qualifications

  • Education: Graduation from a standard senior high school or equivalent.
  • Experience: Three (3) years’ experience with clerical office and/or administrative work.
  • Preferred Experience: Experience using Microsoft Office Suite software and a multi-line telephone.
In this role you will
  • Perform assignment finalization procedures.
  • Route assignments to the regional processing center utilizing Audit Utilities and Agency Work Manager.
  • Prioritize work according to established divisional priorities, focusing on statute audits, hearings, amendments, and refunds.
  • Perform imaging duties for No Tax Due assignments, ensuring accurate document capture and routing.
Additional Responsibilities
  • Maintain filing systems, including recording information and updating paperwork.
  • Prepare documents for imaging including statute waivers, audit questionnaires, and power of attorney forms.
  • Perform word processing and spreadsheet work using Microsoft Office Suite.
  • Maintain compliance with Agency Records Retention procedures.
  • Plan available time to efficiently complete filing, compliance, and correspondence duties.
Payments and Communications
  • Process payments on Agency Work Manager, complete required forms, and allocate amounts as needed.
  • Deposit funds at prescribed banking locations.
  • Maintain accurate records and documentation of all collections processed.
  • Image assignment payments and required forms.
  • Process and image timely, producing high-quality work.
  • Route phone calls, greet visitors, and coordinate flow of information.
  • Receive, datestamp, log, and distribute incoming mail; prepare outgoing mail and manage postage balances; verify billings and forward invoices to Accounts Payable.
  • Complete tasks and respond to inquiries in a timely manner.
Administrative Support and Other Duties
  • Provide administrative support for management; manage property and supplies inventory and oversee credit card purchasing and recordkeeping.
  • Review travel reimbursement requests for accuracy.
  • May perform timekeeping reconciliations and schedule meetings and training.
  • Meet training requirements and attend mandatory training that may require overnight stays.
  • Perform other duties as assigned and actively apply constructive feedback to enhance work quality.
