Summary
The Legal Administrative Assistant (LAA) is responsible for providing a wide range of administrative and clerical support to attorneys and legal teams. This role requires high organization, attention to detail, and the ability to manage multiple tasks simultaneously. The LAA collaborates with Legal Support Assistants (LSAs), Legal Executive Assistants (LEAs), and attorneys, ensuring work is properly allocated and completed on time in a fast‑paced environment that often involves Microsoft Office and other legal software.
LocationThis position is located in the Chicago office and offers a hybrid work schedule.
Responsibilities- Provide practice‑specific support to multiple associates, partners, and other attorneys, prioritizing work accordingly.
- Draft, edit, and proofread legal documents, communications, files, or presentations to ensure accuracy.
- Offer day‑to‑day information governance (IG) and records management support, ensuring content is organized, stored in approved repositories, and maintained per firm policies, including proactive matter close‑out activities.
- Collaborate with other LAAs or LEAs on complex projects and provide administrative support for assigned attorneys.
- Mentor and guide LSAs on projects as appropriate, providing status updates and delegation as needed.
- Organize and monitor assignments within the firm’s workflow tool, ensuring tasks are properly allocated and completed on time, covering items such as time entry and expense reimbursements.
- Oversee billing matters, including approval forms and correspondence, ensuring prebills are processed accurately and timely, and deliver final bills promptly.
- Act as a trusted advisor for associates, partners, or other attorneys, handling confidential or sensitive matters with discretion and professionalism.
Strong communication in the native language via email or voice; initiative to enhance and learn additional skills; experience with Microsoft Office and legal software such as iManage, Aderant, DocXTools, Innova, etc.; ability to adapt to application upgrades and AI‑Powered Tools; flexibility and willingness to learn new skills; ability to work under pressure and meet firm best practices; proficiency in virtual collaboration tools like Zoom and Microsoft Teams.
Minimum Education- High School Diploma or GED
- Bachelor’s Degree in Legal Studies, Business Administration, or a related field
- 2 years of experience working in a legal setting under the supervision of a licensed attorney or office administrator, or within a professional services environment
- Effectively communicate verbally and in writing with clients, lawyers, business professionals, and third parties
- Produce deliverables, answer phone calls, and reply to correspondence efficiently and responsively
- Provide timely, accurate, and quality work product
- Successfully meet deadlines and perform work duties as required
- Foster positive work relationships
- Comply with all firm policies and practices
- Engage in both physical and sedentary activity as required by the role
- Work under pressure and manage competing demands in a fast‑paced environment
- Perform all other duties, tasks or projects as assigned
Sedentary work: occasional lifting of up to 10 pounds; primarily sitting with occasional walking and standing.
Work EnvironmentThe role may include a hybrid arrangement of remote and in‑office work, determined with the hiring manager and may change at the firm’s discretion.

Compensation and BenefitsThe hourly rate is $37.50–$48.75 depending on geographic location. Non‑exempt positions receive overtime in accordance with applicable laws. Benefits include medical/dental/vision insurance and a 401(k) plan.
