We are seeking a customer-service-oriented and self-motivated Marketing & Project Coordinator who enjoys supporting a variety of teams and initiatives. This role is best suited for someone who is extremely organized, adaptable, and eager to learn. To be successful in this role you will need to be comfortable shifting between priorities, managing multiple deadlines, and supporting with both marketing efforts and project administrative activities.
We're looking for someone who has strong attention to detail and commitment to producing high-quality work. The ideal candidate will be proactive, collaborative, resourceful, and willing to jump in when needed to support the team. Responsibilities
• Maintain organized digital filing systems for marketing assets and documentation
• Create, update, and maintain marketing materials including staff resumes, Project Sheets, staff photos, and Statements of Qualifications (SOQs)
• Assist with the creation, scheduling, and publishing of social media content, including Linked In posts
• Provide logistical and/or on-site support for conferences, recruiting events, and other company initiatives
• Format, organize, and maintain project documents in accordance with company quality standards
• Support Project Managers and project teams with administrative and coordination tasks
• Assist with project activities including document formatting, schedule creation, invoice review, tracking deliverables, and project closeout
• Coordinate meetings and prepare meeting agendas and minutes as needed
• Assist with travel coordination, expense reports, and related administrative tasks
• Communicate professionally with internal staff, clients, and external partners
• Perform other related duties as assigned
Qualifications
• Exceptional organizational skills and attention to detail
• Strong ability to manage multiple priorities and meet deadlines
• Excellent verbal and written communication skills
• Strong grammar, proofreading, and document formatting skills
• Ability to work both independently and collaboratively in a team environment
• Positive attitude, adaptability, and willingness to learn
• Ability to follow instructions while also taking initiative when appropriate
• Proficiency in Microsoft Office applications, including Word, Excel, and Power Point
• Experience with Adobe Creative Cloud preferred
• Experience with Bluebeam preferred
• Bilingual (English/Spanish) preferred
• High school diploma or G.E.D. required; associate or bachelor's degree preferred
