Office Administrator/ Coordinator, Admin Assistant, Clerical, Virtual Assistant/ Remote Admin
You'll be the first face clients see when they walk into one of Florida's leading real estate and estate planning firms. This isn't a "sit behind the desk and answer phones" role — you're the front of the house, setting the tone for every client meeting and closing. Whatyou'll do
Welcome clients and visitors with warmth and professionalism. Manage a multi-line phone system and route calls efficiently. Coordinate appointments, oversee conference room scheduling, and keep the reception area polished and organized. Handle incoming and outgoing mail and deliveries. Support attorneys and staff with scanning, filing, electronic records, and other administrative tasks. Throughout it all, you'll handle confidential client information with discretion.
Whatwe're looking for
You're warm, polished, and unflappable under a busy front desk. You communicate clearly — in person, on the phone, and by email — and you know how to prioritize when three things need your attention 're comfortable with technology (Microsoft Office, scheduling software, case management systems) and pick up new tools quickly. Prior experience in a law firm, title company, or professional services environment is a plus but not required.

What You Bring- 1+ year of receptionist, administrative, or customer service experience
- Professional communication skills (both written and verbal)
- Strong organizational skills and attention to detail
- Comfort with Microsoft Office and learning new software quickly
- Ability to manage multiple priorities in a fast-paced setting
- A calm, solution-oriented mindset
Law firm or professional office experience is a plus, but not required.
