Job Summary
The Executive Assistant (EA) is a trusted, high?judgment partner to senior leadership, orchestrating time, information flow, and priorities to maximize business impact. This role blends world?class executive support with analytical rigor and project management?building dashboards, tracking Objectives and Key Results, managing cross?functional workplans, and ensuring decisions, communications, and meetings drive measurable outcomes.
Essential Functions- Serve as a trusted partner to the Executive, anticipating needs and proactively managing priorities.
- Triage inbound requests, ensure proper delegation, and safeguard confidentiality.
- Manage a complex, dynamic calendar; plan long?term priorities and travel while identifying risks proactively.
- Coordinate complex domestic and international travel itineraries, including catering, flights, hotels, and transportation for leadership and designated personnel.
- Prepare the Executive for meetings with agendas, pre?reads, decision logs, and follow?ups that track actions to closure.
- Draft and edit executive communications, talking points, and updates.
- Synthesize complex information into clear executive summaries and insights.
- Coordinate preparation of Board, Investor, and Executive materials with a high degree of accuracy.
- Establish and run project management routines for executive?level initiatives, tracking risks, dependencies, and critical milestones across teams.
- Prepare, verify, document, enter, and reconcile invoices, expense accounts, and purchase cards in accordance with corporate procedures and budget guidelines.
- Create and modify presentations, reports, spreadsheets, manuals, charts, and other documents, including data updates and variance explanations.
- Conduct ad?hoc analyses supporting headcount, budgeting, vendor performance, and initiative health.
- Serve as a liaison across leadership and external partners with a high level of professionalism.
- High school diploma or equivalent required
- Bachelor?s degree preferred
- At least five years of related experience; C?suite support strongly preferred
- Experience with data analysis, reporting, and executive?level presentations preferred
- Experience preparing Board and Investor materials and supporting executive off?site meetings preferred
