Salary Range: $15.00 - $20.00 Hourly

- Office Operations:
Oversee daily office procedures, manage office supply inventory, coordinate ordering with the Operations Manager, maintain a clean conference room environment, and assist with occasional light cleaning. Support tax return processing, including calling clients for pickup, tracking e‑filing forms, following up for required documents, and maintaining accurate form schedules and scanned records. - Scheduling & Event Coordination:
Manage calendars, schedule meetings and appointments, and support coordination of internal events, meetings, or special projects as needed. - Communication & Support:
Serve as the primary point of contact for incoming calls, emails, and correspondence, routing communications appropriately while providing administrative support to managers and senior staff. - Documentation & Record Keeping:
Prepare, format, and distribute reports, presentations, and correspondence. Maintain organized physical and digital filing systems, ensuring all information is accurate, secure, and easily accessible. - Financial Administration:
Assist with light bookkeeping tasks, including processing invoices, tracking expenses, and supporting budget‑related activities. - Process Improvement:
Evaluate current administrative processes and recommend improvements to increase efficiency and productivity across office operations.
- Education:
High school diploma or equivalent; associate or bachelor’s degree in business administration or a related field preferred. - Experience:
2–4 years in an administrative, office management, or project coordination role. Experience with in a CPA firm or similar professional services environment is a strong plus. - Technical
Skills:
Highly proficient with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and comfortable using office equipment, communication platforms such as Zoom or Teams, and databases or CRM tools like SharePoint or Smartsheet. - Core
Skills:
Strong organizational, time management, and multitasking abilities; clear and professional communication; attention to detail; ability to handle confidential information with discretion.
