Position Title:
Administrative Assistant
Duration: 12 months
Reports to:
Director of Early Childhood
Schedule:
8 hour day (approximately 40 hours per week)
Compensation: $37,005
Qualifications- College degree, certifications, and work experience in Access (databases, tables, merging), Word, student and staff attendance systems, Photodraw, Excel (spreadsheets, tables, functions, formulas, charts, graphs), PowerPoint, email/document transfer, data warehousing, web-based assessment and tracking systems, and Publisher.
- Office/files/binders organizational skills for student and community assessment information collection and analysis.
- Excellent verbal and written communication skills.
- Ability to serve as a teacher‑assistant substitute; knowledgeable of classroom routines and practices.
Coordinate completion of workload assigned by management among several employees. Workload includes classroom substitution when necessary. Oversee projects from inception to completion including initiation based on the program planning calendar or otherwise assigned by management. Collect, organize, analyze, summarize, and report program data.
Performance Responsibilities- Early Learning Packets
- Teacher classroom supply requisitions, including first aid
- Newsletter copy and distribution
- Annual program pictures and library materials
- Special events (e.g., parent orientation, staff orientation, family activities)
- Health and safety inspections (safety binder checklist)
- Emergency procedures in all rooms across all buildings
- Written procedures for all above tasks, including monitoring
- Technology: data entry & collection (PBIS, skill tests, portfolios); reports and analysis; parent survey tally; community assessment collection, organization, and analysis; program information report comparison charts; inventory; work order knowledge; daily operating procedures
- Finance: warehouse orders; business office requisitions
- Self‑assessment: project management coordination with the office management assistant
- Program calendar: checklist of contents and responsibilities, timetable; scheduling program activities as assigned
- Governance: policy council agendas with PS reference; legal minutes; packets to appropriate bodies/individuals
- Perform additional responsibilities as assigned by the Head Start Director or designee
- Scheduled to work approximately 40 hours per week.
- Exposure to noise.

- Exposure to temperatures above 90 degrees.
- Exposure to chlorine and other cleaning chemicals.
- Exposure to blood and bodily fluids.
- Exposure to child aggression and other hazards.
- Exposure to dust.
- Walking a distance of approximately 1–2 miles.
- Carrying approximately 30–50 pounds.
- Pushing approximately 50 pounds.
- Lifting approximately 30–50 pounds.
- Climbing approximately 40 steps.
- Working alone or independently.
- Standing.
- Sitting on a child‑size chair or on the floor.
- Kneeling.
