Job SummaryProvide clerical and office management support for the building or department, working under general supervision, with duties that include maintaining student and employee records, managing correspondence, and supporting administrative staff.
Major Duties and Responsibilities- Provide clerical support: create, process, and distribute correspondence, forms, memoranda, and reports; schedule meetings; record and transcribe minutes; maintain confidential records and emergency procedures; sign authorized forms.
- Office support: greet patrons; direct and assist with routine matters; answer and screen telephone calls; receive, route, and distribute mail; assist staff with office equipment; maintain appointment calendars; schedule meetings and events; assist with training office staff; support Deans of Students.
- Support office productivity: prepare documents, data, and information; report and reconcile school fees and deposits.
- Records and files: establish, maintain, distribute, and archive student and office records; retrieve records; maintain online data; process report cards; develop necessary interoffice forms.
- Assist with report preparation: gather background information; develop spreadsheets and databases.
- Follow Board policies and stay updated on changes.
- Perform other duties as assigned.
- Enter attendance and oversee related processes; generate reports; meet with Assistant Principal regarding BECCA letters.
- Provide Skyward Qmlativ data management for preschool students.
- Maintain student transportation rosters; backup Main Office staff.
- Request sanitation and surplus items.
- Register and withdraw students; produce monthly enrollment reports.
- Enter attendance and support related processes; generate reports; meet with Assistant Principal regarding BECCA letters; assist with scheduling 504 meetings.
- Assist with student discipline files and forms.
- Communicate via Family Access, School Messenger.
- Process transportation rosters and Smart Tag badges.
- Experience working with culturally diverse families and communities.
- High school diploma or equivalent.
- Two (2) years of related office experience; advanced education may substitute.
- Advanced clerical skills: typing, filing, basic office equipment, Microsoft Office.
- Strong grammar, proof‑reading, and record‑keeping skills.
- Ability to work effectively amid frequent interruptions.
- Effective interaction with students, parents, staff, and community members.
- Initiative and sound judgment with minimal direction.
- Confidentiality in all matters.
- Sensitivity to cultural, ethnic, gender, and religious diversity.
- Bilingual skills.
- Knowledge of standardized procedures for recurring work.
- Proficiency in Excel and Skyward Qmlativ.
Frequent sitting, lifting 25–50 pounds; work often at a computer. Requires close, distance, color, peripheral, and depth vision. Must maintain composure when dealing with emotionally upset clients.
BenefitsEmployees anticipated to work 630 hours yearly are eligible for medical, dental, vision, long‑term disability, and basic life insurance.
