What our Commercial HVAC Coordinators do

To be successful in this role, you must be organized, highly energetic, customer focused and detail oriented. Qualified candidates must be able to proficiently enter and access information in our customer database and effectively organize and present job-related support materials to facilitate error-free execution. Other responsibilities include securing and completing permits (including support documentation), maintaining client files & agreements, client communications, daily department status updates, and other duties assigned.

Excellent communication and organizational skills are also a must. Solid command of standard office software (including MS Office) and machinery is also required.

Responsibilities
  • Support the Commercial HVAC department by coordinating the Commercial HVAC installation, and Customer maintenance processes.
  • Support the bidding process by researching Equipment, Materials, and Vendor pricing.
  • Schedule and coordinate subcontractors as needed.
  • Book HVAC installation jobs in company database.
  • Work with Install Management and install Coordinators to prepare and deliver daily work assignment packets.
  • Prepare and present periodic updates on job and customer status in department meetings.
  • Assist with the residential Plumbing, Electrical, and HVAC permitting & coordination process.
  • Complete installation related reporting and registration functions.
  • Learn and develop proficiency with permitting processes and systems.
  • Work with other departments to facilitate a positive work atmosphere.
  • Learn and become proficient with the process of following up with old cases and emailing appropriate departments to move accounts forward in the permitting process and document any changes in job cases or status at least twice per week.
  • Learn and become proficient with the process to neatly gather and submit all paperwork as required by building departments.
  • Maintain a clean and neat appearance wearing business casual clothing or company specific apparel.
  • Use meetings as a time to share ideas and participate in feedback.
  • Take guidance from your manager and senior colleagues to learn and develop knowledge of how the process works of getting permit packets to local municipalities to drive a zero-queue each day, which may include driving or mailing permit packets to local municipalities.
  • Learn and become proficient in picking up any permits submitted immediately following the specified turnaround time.
  • Develop the knowledge necessary to become proficient with the maintenance process for company expense transactions for each job/account monthly by taking direction from accounts payable policy.
Qualifications
  • High School Diploma (AA or Better degree Preferred).
  • History of stability & dependability.
  • Previous experience in the trades/home service sector as a coordinator, permit clerk, or office support staff. Experience in Medical Records/Office Staff or Medical Insurance billing/processing can also be applicable.
  • Experience with Service Titan is a huge plus.
  • Local resident.

Hours:

6:30 AM - 3:00 PM (6:00 AM - 2:30 PM preferred).

Hourly: $22.00 - $25.00 DOE. Overtime and after-hours support (including weekends) are an essential part of this role.
