Role Overview

The Administrative Assistant is the "ambassador" of our school and the primary point of contact for our community. This role requires a high-energy professional who balances warm, interpersonal engagement with rigorous administrative and financial oversight. You will be responsible for the daily flow of the front office while ensuring that school resources are managed accurately through the purchase and requisition process.

Key Responsibilities 1. Front Office Excellence & Communication
  • Serve as the primary receptionist, providing a professional and welcoming environment for students, parents, staff, and visitors.
  • Manage high-volume multi-line telephone systems; screen and direct calls appropriately.
  • Act as a central hub for information, expertly directing stakeholders to the correct resources or departments.
  • Assist with student attendance tracking and daily check-in/check-out procedures.
  • Requisition s & Purchasing: Facilitate the end-to-end procurement process, including intake of staff requests, verifying budget availability, and submitting formal requisitions.
  • Vendor Relations: Coordinate with vendors to track orders, resolve shipping discrepancies, and manage returns.
  • Deposits & Bookkeeping: Manage and record daily deposits for various school accounts (e.g., athletics, clubs, student activities) with 100% accuracy.
  • Record Keeping: Maintain organized digital and physical files for all financial transactions and audit trails.
3. Operational Support
  • Maintain and update the Student Information System (SIS) to ensure data integrity.
  • Coordinate office supplies inventory and maintain common work areas.
  • Provide administrative support to school leadership as needed for special projects or events.
