Program Specialist
Location:
Based in Marshalltown, IA
The Program Specialist is responsible for driving the day‑to‑day execution of projects, ensuring timely delivery of milestones and compliance with all required steps. While each project has an assigned Manager who oversees overall strategy and client communication, the Program Specialist focuses on operational details and works closely with the Project Manager as a collaborative team to achieve project success.
Responsibilities- Create, review and drive detailed project schedules in alignment with the Project Manager.
- Ensure adherence to timelines and deliverables.
- Conduct internal cadence meetings to monitor progress.
- Provide regular status updates to the Project Manager and stakeholders.
- Order and submit Inspection Test Plans (ITP).
- Track and manage all mandatory steps and submittals.
- Monitor order tracking and change order process.
- Escalate issues promptly to avoid delays.
- Manage milestone billing processes accurately and on time.
- Expedite critical materials and components to meet project deadlines.
- Obtain and manage long‑term (LT) quotes for project requirements.
- Ability to work effectively as part of a team with the Project Manager and other stakeholders.
- Skilled in managing operational aspects of complex projects.
- Strong ability to prioritize tasks and maintain accurate documentation.
- Proactive in identifying issues and implementing solutions.
- Understanding of billing cycles, cost control, and budgeting.
- Familiarity with ITPs, submittals, and procurement processes.
- Ability to meet deadlines in a fast‑paced environment.
- Effective communication and time management skills.
- Bachelor’s degree or equivalent relevant experience in lieu of a degree.
- A minimum of 2 years of related project management, supply chain, or manufacturing operations experience.
- Knowledge and capability in Microsoft Excel, PowerPoint, Outlook and Teams.
- Ability to travel up to 10% for onsite customer meetings.
- Legal Authorization to work in the United States – sponsorship will not be provided for this role.
- Experience in manufacturing principles.
- Chemical, Oil & Gas, Power, Water / Wastewater, or other related industry experience.
