The Commercial Operations Specialist – Americas plays a critical role in supporting Ethos Energy’s sales execution across the Americas, with a particular focus on the procedural, regulatory, and administrative demands of the Latin American market. This position is responsible for managing the commercial processes that enable sales teams to respond efficiently and compliantly to customer requests, maintain bid eligibility, and progress opportunities through the full commercial lifecycle.
The role serves as a central coordination point between Sales, Finance, Legal, Supply Chain, and Compliance, ensuring that customer submissions, RFQs/RFPs, and vendor registrations are accurate, complete, and aligned with customer and regulatory requirements. By owning these demanding processes end‑to‑end, the Commercial Operations Specialist enables sales leadership to focus on strategy and customer engagement while reducing execution risk, cycle time, and compliance exposure.
Job Responsibilities- Own the end‑to‑end coordination of commercial processes supporting sales activities across the Americas, with a primary focus on Latin American markets
- Manage customer RFQs, RFPs, and commercial requests from initial receipt through submission and post‑submission support, ensuring accuracy, completeness, and compliance with customer requirements
- Serve as the central point of coordination between Sales, Finance, Legal, Supply Chain, Operations, and Compliance to gather, validate, and submit required commercial documentation
- Ensure all customer submissions, forms, and portal‑based entries are completed accurately and within required deadlines
- Manage and maintain customer vendor registrations, annual renewals, and onboarding requirements to preserve bid eligibility and avoid commercial disruptions
- Coordinate submission of corporate, tax, banking, insurance, and compliance documentation required by customers, particularly in regulated LATAM environments
- Track commercial milestones, approvals, and deadlines using Salesforce and internal systems, providing visibility and follow‑up as needed
- Support clean invoicing and cash‑collection alignment by ensuring customer documentation and administrative requirements are satisfied
- Ensure all commercial activities are executed in accordance with company policies, trade compliance standards, and applicable legal and regulatory requirements
- Identify opportunities to improve commercial execution efficiency, reduce cycle time, and standardize best practices across regions
- Strong understanding of commercial operations, including RFQ/RFP coordination, proposal administration, and customer commercial requirements
- Proven ability to manage complex, multi‑step administrative processes, particularly in regulated or international environments such as Latin America
- Excellent organizational and time‑management skills, with the ability to manage multiple concurrent opportunities and deadlines without loss of quality
- High attention to detail and strong document‑control discipline to ensure accuracy, consistency, and compliance in customer submissions
- Ability to work effectively across cross‑functional teams including Sales, Finance, Legal, Supply Chain, Operations, and Compliance
- Strong written and verbal communication skills, with the ability to interact professionally with internal stakeholders and external customers
- Fluency in English and Spanish (written and verbal) to support LATAM customer engagement and documentation requirements
- Working knowledge of Salesforce, Microsoft Office tools, and customer portal systems used for commercial submissions and tracking
- Understanding of trade compliance, vendor registration, and customer onboarding requirements, or ability to quickly develop this knowledge
- High level of professionalism, integrity, and discretion when handling confidential commercial and customer information
- 8+ years of professional experience in commercial operations, proposal coordination, RFP/RFQ management, sales operations, or a related role
