Position: Operations Administrative Coordinator. Job in Midland Lily Lifestyle Jobs

Join our dynamic team as an Operations Administrative Coordinator! In this role, you will be key in supporting various operational areas, including linehaul, quality assurance, and customer service. You will manage damaged and incorrectly addressed packages efficiently to ensure optimal delivery times while serving as the first point of contact for our customers.

Essential Functions
  • Provide essential clerical support to management and operations, including photocopying, filing, faxing, emailing, and handling phone inquiries.
  • Review, research, and enter data across different systems to assist in your functional area.
  • Compile and present regular and ad-hoc reports to management for their review.
  • Deliver excellent customer service by addressing, resolving, or escalating customer inquiries and issues.
  • Assist management with Business Control Self Assessment (BCSA) audit activities by fetching necessary data and files.
  • In addition to the above functions, the following areas have specific responsibilities:
  • Quality Assurance/Loss Prevention Functions:
    • Ensure timely delivery and minimize losses by verifying addresses and maintaining package integrity.
    • Prioritize tasks to maximize the number of packages processed and sent out for delivery daily.
    • Confirm all packages are correctly scanned, handle hazardous material issues per policy, and account for all products as per company guidelines.
    • Investigate missing packages to identify causes of scanning failures and gather information on disputed deliveries for management review.
    • Analyze claims for loss and damage to identify discrepancies and report findings to management.
  • Linehaul Functions:
    • Accurately enter Independent Contractor (IC) settlement details into the system to facilitate correct payments, and implement settlement adjustments as guided by management.
    • Compile documentation to maintain Department of Transportation (Use the "Apply for this Job" box below). and ensure timely log entries.
    • Manage vehicle mileage records and assist ICs and Linehaul staff in resolving any issues.
    • Track various performance metrics such as the IC charge back program and prepare weekly reports for management review.
    • Act as the first point of contact for IC inquiries related to settlements, uniforms, and decals, directing issues to management for resolution.
  • Perform other duties as assigned.
Minimum Education
  • High School Diploma or GED required.
Minimum Experience
  • Two (2) years of customer service, clerical, or related experience required; dock operations or distribution center experience preferred.
Knowledge, Skills, and Abilities
  • Proficient in general business skills including typing, data entry, and use of office equipment like phones, copiers, and faxes.
  • Competent in Microsoft Office and web-based applications.
  • Exemplary customer service skills to address requests effectively and professionally.
  • Strong time management, organizational, and multitasking abilities to thrive in a fast-paced environment, ensuring high attention to detail and accuracy in completing tasks.
