SH Acoustics is an internationally recognized acoustic and audio consulting firm specializing in museum & exhibit-based spaces, luxury residential, recording/broadcast studios, and more.

SH Acoustics is seeking an Entry-Level Secretary / Administrative Assistant in our Milford CT headquarters:

  • Will consider individuals on a part-time or full-time basis
  • Will consider College Student Internship on a paid or for “course credit” basis
  • Candidate needs to be comfortable working in a fast-paced, professional environment
  • Must have excellent attention to detail
  • Must be experienced with Outlook/Office 365 for email, Calendar & Contacts
  • Must be comfortable with Microsoft Word, Excel & PowerPoint
  • Must be able to listen effectively and learn quickly

Support the Bookkeeper/Office Manager with the following tasks & responsibilities:

  • Email: Monitor email & respond promptly
  • Ad-hoc Tasks: Perform as requested
  • Calendar: Thru day update Outlook Calendar for Appointments/Meetings/Conference Calls
  • Contacts: Support Marketing Manager by maintaining contact information in Outlook & verifying data uploads to HubSpot (our CRM online tool)
  • Project Binders: Create new binders for projects and update as needed.
  • Kitchen: Clean up the kitchen area
  • GoToMeeting: Setup GoToMeeting for appropriate Client & Staff Meetings
  • Track Staff Time Off
  • Supplies: Support maintaining supplies for entire office & staff, including Office Supplies, Kitchen and Bath Supplies & Printer Ink
  • eFax: Forward to an appropriate staff member (print out & file if necessary)
  • Mail: Daily check the mailbox and deliver all mail to Bookkeeper (Same for anything received via FedEx or UPS. Occasional trips to the Post office are needed as well
  • FedEx / UPS / USPS: Responsible for all FedEx, UPS and USPS shipments & deliveries. Occasional trips to local FedEx & UPS stores
  • Travel: Support Marketing Manager by Coordinating travel arrangements with our travel agent. Also, purchase ferry passes & parking passes as needed
  • Lunch & Learn Presentations: Support our Marketing Manager for these events
  • Personal Travel: Drive to bank, store, post office, etc. (Company reimburses for mileage)
  • Other duties as assigned
