Position Overview

The Accounting Coordinator is responsible for various financial and administrative tasks that contribute to the daily operation of our business. Key areas of responsibility include:

Responsibilities
  • Accounts Receivable: Setting up new accounts; invoice management; payment processing (ACH, check, credit card); scheduling deposits.
  • Accounts Payable: Entering and paying bills in a timely manner; ensuring proper terms.
  • Cash Flow: Managing regular cash flow to ensure healthy operations.
  • Bookkeeping: Providing support for other daily accounting needs that fall under a “bookkeeping” role, including updating accounts (Quick Books) and running reports.
  • Payroll: Submitting payroll as required; maintaining employee compensation database; interfacing with payroll firm.
  • Budget/Cost Savings: Working with Director of Administration and CFO to monitor and update departmental budgets, and identify spending patterns and possible areas of improvement; hold monthly budget meetings.
  • Month-End and Year-End: Performing timely and accurate month-end and year-end activities (reconciliation, tax filing, etc.).
  • CPA Agency: Serving as primary contact with outside CPA firm, assisting with tax planning, tax filing and other financial-related matters.
  • Processes: Seeking and implementing opportunities to improve finance and accounting operations; ensuring all processes comply with generally accepted accounting principles (GAAP) and federal and state laws and regulations.
  • Forecasting: Assisting leadership with annual forecasts to ensure realistic goals are set.

Other duties as assigned to meet the needs of the organization.

The Accounting Coordinator is a full-time position. Must be proficient in Quick Books, Microsoft Office, and Google Suite products (especially Excel and Google Sheets). Must have training and 1-3 years experience in finance, accounting, or a relevant field. Masters or CPA certification a plus. Must be able to work nights and weekends, as needed.

  • The position reports directly to the Director of Administration.
