Overview
Byrne & Jones Construction, the premier commercial site contractor in the St. Louis metro area, is looking for a Project Administrator to manage pre-construction and contract-related administrative duties, ensuring the smooth execution of contracts and compliance with key project processes.
This position is crucial for managing documentation and supporting the Project Management team in facilitating the successful delivery of construction projects. If you have a keen eye for detail, can multitask, and thrive in a fast-paced environment, we want to hear from you!
Responsibilities- Oversee the organization of contract-related files, ensuring they are maintained accurately in digital and physical formats.
- Ensuring compliance with all contract paperwork and verifying qualification documents.
- Prepare, scan, and organize bid-related documents to support the Project Management team.
- Assist with new customer/vendor setup and credit applications, ensuring smooth onboarding and adherence to contractual terms.
- Enter project information into internal systems for accounting purposes, ensuring all records are accurate and current.
- Support project managers by accurately entering data into project management systems.
- Preparation of pre-qualification paperwork, warranty letters, closeout documents, and company licensing, ensuring accuracy and thoroughness.
- Associate's or bachelor’s degree in a related field, or equivalent work experience in legal, administrative, or business settings.
- 1-2 years of experience focusing on contract and document management.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and SharePoint (or similar document management systems).
- Must have a strong eye for detail, ensuring all contract and administrative tasks are completed accurately and on time.
- Strong verbal and written communication skills are essential to support project teams and external partners effectively.
- Ability to manage multiple tasks simultaneously and prioritize effectively in a fast-paced environment.
- Familiarity with the construction industry and project documentation processes is preferred but not required.
- Strong interpersonal skills and the ability to work collaboratively across teams.
- Proactive, with keen attention to detail and a commitment to quality.
- Ability to manage multiple contract-related administrative tasks while adhering to multiple deadlines.
- Strong enthusiasm for collaborating with and supporting various departments and team members.
