Foley Shald Engineering has an opening for an Administrative Assistant - Full-time preferred but Part-time will also be considered.

We believe that the engineering design process should focus on the construction process, resulting in cost effective solutions that are efficiently constructed. Foley Shald Engineering specializes in land development engineering, site design and stormwater management, seamlessly integrating all phases of a project to create unique designs that are on budget and on time.
We work closely with our clients through the entire process to keep them informed and involved every step of the way, until the vision becomes a reality.
The Administrative Assistant will function as project coordinators, assisting engineers, construction managers and project managers with administrative support essential in delivering quality services to our clients. In addition, this position will assist with general office tasks and support. The ideal candidates will be well versed in Microsoft Office Suite applications such as Excel, Word, and PowerPoint. The ability to organize project records and files, prepare client submittals, assist in preparing proposals and effectively communicate (verbally and in writing) in a dynamic, fast-paced environment are basic requirements.

Administrative Support
- Maintain and organize digital and physical filing systems (project files, contracts, drawings, etc.)
- Assist with preparation, formatting, and assembly of design proposals, presentations, and client deliverables
- Prepare, format, proofread, and distribute internal memos, reports, proposals, and correspondence
- Track design deadlines, project milestones, and deliverables
- Assist with review and processing of contractor pay applications, invoices and lien waivers
- manage construction administration correspondence and ensure timely responses to contractors and owners
- Support issuance of certificates of substantial completion and final project close-out packages
- Provide backup coverage for other support roles as needed.
- 2+ years of administrative experience preferred with experience working for an engineering/architectural firm highly desired
- Excellent written and verbal communication skills with a high level of professionalism
- Exceptional organizational and multitasking abilities with strong attention to detail
- Ability to prioritize tasks effectively in a fast-paced, deadline-driven environment
- High level of discretion and ability to handle confidential and sensitive information
- Proactive problem-solving mindset and willingness to take initiative
- Strong interpersonal skills – comfortable interacting with clients, contractors, consultants, and senior leadership
- Experience in an architectural, interior design, engineering, or general contractor firm
- Familiarity with marketing and proposal processes (SOQs, RFPs, presentations)
This position is an in office position Monday through Friday.
Physical RequirementsThis position may require walking, standing and sitting for extended periods of time.
CompensationTBD based on experience
