Position: Administrative & Data Entry Support Specialist (Remote)

We are seeking a highly organized, detail-oriented, and dependable Administrative & Data Entry Support Specialist (Remote) to join our growing virtual team. This role is ideal for professionals who excel at maintaining accurate records, supporting administrative workflows, and ensuring operational efficiency in a remote environment.

As an Administrative & Data Entry Support Specialist, you will play a critical role in managing data accuracy, organizing documentation, and supporting internal departments with essential clerical and operational tasks. You will help ensure that company records, reports, and systems remain up-to-date, compliant, and efficiently maintained. This position offers strong growth potential within administration, operations, and business support functions.

Key Responsibilities

Data Entry and Record Management

  • Accurately input, update, and maintain company databases and digital records
  • Verify data accuracy and identify discrepancies for correction
  • Perform regular data audits to ensure completeness and compliance
  • Organize and manage electronic filing systems
  • Maintain confidentiality and data security standards

Administrative Support

  • Prepare reports, spreadsheets, and internal documentation
  • Assist with document formatting, record updates, and file organization
  • Manage shared inboxes and respond to administrative inquiries
  • Schedule meetings and coordinate virtual appointments
  • Support billing documentation, invoices, and internal tracking processes

Operational Coordination

  • Track tasks and deadlines using project management systems
  • Assist with onboarding documentation for new hires or clients
  • Update and maintain standard operating procedures
  • Support workflow improvements and administrative process optimization
  • Provide general support to leadership and cross-functional teams
Technical Skills and Tools
  • Proficiency in Google Workspace including Docs, Sheets, Drive, and Calendar
  • Working knowledge of Microsoft Office Suite, particularly Excel
  • Familiarity with CRM platforms such as Salesforce, Hub Spot, or Zendesk preferred
  • Experience with project management tools such as Asana, Trello, Click Up, or  is a plus
  • Comfortable using communication platforms such as Slack, Microsoft Teams, and Zoom
